The Floater Front Desk is responsible for supporting daily front desk operations across multiple clinic locations as needed. This role ensures continuity of operations by fillingin for staffing gaps,assisting during high-volume periods, andmaintaininga consistent, high-quality patient experience across all assigned offices.
The Floater Front Desk serves as a key resource within the organization, requiring adaptability, strong organizational skills, and the ability to quickly integrate into different teams and workflows. This position plays a critical role in delivering welcoming, professional, and efficient patient experience in a fast-paced environment encompassing retail, lab, and optometric services.
Essential Duties and Responsibilities Multi-Location Support- o Travel to variouscliniclocations as assigned based on business needs.
- o Adapt quickly to different office workflows, teams, and provider preferences.
- o Provide front desk coverage for callouts, PTO, vacancies, or increased patient volume.
- o Maintain consistency in service standards and processes across all locations.
- o Schedule, confirm, and reschedule patient appointments.
- o Maintain full capacity of patient scheduling tooptimizeprovider availability.
- o Manage patient recalls and follow-up appointments.
- o Respond to incoming phone calls, voicemail messages, and patient emails.
- o Coordinate communication between patients, technicians, optical staff, and providers to support efficient patient flow.
- o Enter and maintain accurate patient information including demographics, primary care provider information, insurance coverage, and guarantor details.
- o Prepare patientintakepaperwork prior to appointments.
- o Scan and upload completed intake documents into patient charts within the electronic health record (EHR) system.
- o Perform filing and other clerical and administrative duties as assigned.
- o Assist doctors and office staff with clerical tasks when needed.
- o Verify and authorize vision and medical insurance benefits prior to patient visits.
- o Communicate insurance coverage, copays, and financial responsibility to patients when appropriate.
- o Ensureaccuratedocumentation of insurance information within patient records.
- o Greet patients and visitors in a friendly, courteous, and professional manner.
- o Manage patient flow to support efficient andtimelyappointments.
- o Maintain a clean, organized, and welcoming front desk and reception area at all locations.
- o Perform pre-testing functions when directed by management or providers.
- o Support overall office operations to ensurea positive patient experience.
- o Excellent verbal and written communication skills.
- o Strong customer service and interpersonal skills.
- o Computer literacy and ability to quickly learn multiple electronic health record(EHR) systems.
- o Knowledge of vision and medical terminology preferred.
- o Strong organizational skills and attention to detail.
- o Ability to work independently and adapt in a fast-paced, changing environment.
- o Maintain patient confidentiality in accordance withHIPAA regulations.
- o Ensure compliance with company policies, procedures, and operational guidelines across all locations.
- o Support office processes thatmaintainaccuratedocumentation and operational consistency.
- o Maintain a safe, clean, organized, and inviting environment for both patients and staff.
- o Perform additional duties and assume responsibilities as assigned by management.
- o High school diploma or equivalent required.
- o Previous customer service or front desk experience required.
- o Experience in healthcare, optometry, or a medical office environment preferred.
Physical Requirements
- o Ability to travel regularly between assigned clinic locations (reliable transportation required).
- o Ability to sit, stand, and move throughout the office during the workday.
- o Ability to use computers and office equipment for extended periods.
- o Ability to occasionally lift upto 15–20 pounds.
