Position: ALASKA ADMINISTRATIVE ASSISTANT

Office Administrator

The Office Administrator provides day-to-day administrative and operational support for Nabors Alaska Drilling. This role helps keep the Anchorage office organized, responsive, and running efficiently by coordinating office services, records, communications, meetings, travel, purchasing support, and routine employee administration.

The Office Administrator works closely with Human Resources, Operations, HSE, Training, Payroll, IT, Finance, field leadership, vendors, and employees. The position requires strong follow-through, sound judgment, confidentiality, and the ability to manage changing priorities in a fast-paced environment supporting remote field operations.

Location:

Anchorage office, on-site. Remote or hybrid work is not anticipated.

Travel:
Occasional local travel may be required. Periodic travel to Alaska field locations may be requested based on business needs.

Responsibilities

Office Administration & Front Office Support

  • Maintain organized, professional, and efficient day-to-day office operations.
  • Welcome visitors, respond to general inquiries, route calls and requests, and coordinate access with the appropriate internal contacts.
  • Monitor shared office communications and distribute incoming mail, packages, and time-sensitive documents.
  • Maintain office supplies, shared work areas, meeting rooms, and routine office-service schedules.
  • Prepare correspondence, forms, presentations, spreadsheets, meeting materials, and other administrative documents.

Calendar, Meeting & Event Coordination

  • Coordinate meetings, conference rooms, visitor logistics, catering, and related administrative details.
  • Prepare agendas and materials, capture action items when requested, and help track follow-up responsibilities.
  • Assist with employee meetings, training sessions, recruiting events, leadership visits, and office activities.

Travel & Operational Logistics

  • Coordinate business travel arrangements, lodging, transportation, itineraries, and changes for employees and visitors as assigned.
  • Provide administrative support for field visits, crew-related travel, and workforce logistics in coordination with Operations and HR.
  • Maintain accurate travel records and communicate confirmed arrangements and changes to the appropriate stakeholders.

Purchasing, Invoice & Expense Support

  • Coordinate routine office purchases and vendor requests in accordance with company processes and approval requirements.
  • Collect supporting documentation for purchase orders, invoices, expense reports, and cost tracking.
  • Follow up with requestors, vendors, Finance, or other internal teams to resolve incomplete or inconsistent documentation.
  • Maintain organized records of office orders, service requests, invoices, and recurring vendor activity.

Employee & HR Administrative Support

  • Assist with scheduling, document collection, communications, and logistics for recruiting, onboarding, training, and offboarding activities.
  • Prepare routine employee documents and maintain administrative trackers while protecting confidential information.
  • Help coordinate new-hire readiness, including office access, equipment requests, orientation materials, and required appointments.
  • Route employee questions to HR, Payroll, Benefits, IT, Training, HSE, or Operations as appropriate without providing guidance outside the role's authority.

Records, Reporting & Document Control

  • Maintain accurate electronic and hard-copy records in accordance with document-retention, confidentiality, and access requirements.
  • Update administrative trackers, contact lists, rosters, schedules, reports, and shared resources.
  • Review documents for completeness and accuracy and follow up on missing information.
  • Support audits, records requests, and routine reporting by locating and organizing requested documentation.

Facilities, IT & Vendor Coordination

  • Submit and monitor routine facilities, building-access, equipment, and IT service requests.
  • Coordinate with property management, vendors, IT, HSE, and internal stakeholders regarding office repairs, inspections, deliveries, and service needs.
  • Help maintain office readiness, including meeting spaces, shared equipment, emergency information, and posted notices.

Continuous Improvement & Team Support

  • Identify opportunities to simplify administrative processes, improve templates, and strengthen documentation practices.
  • Provide backup administrative coverage and support special projects as assigned.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent required; associate degree or additional business or administrative education preferred.
  • Three or more years of office administration, executive support, operations coordination, or related experience preferred.
  • Intermediate proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong organization, prioritization, and follow-through, with the ability to manage multiple requests and deadlines.
