Answer phones, generate and respond to correspondence. Facilitate jumpseats and catering. Distribute mail and maintain Assistant Chief Pilot (ACP) files. Retrieve and analyze data from various computer systems to provide ACP's with information about crew member schedules, crew member visas and passports, leaves of absences, etc. Interface with ACP's, Flight Operations, crew members, human resources, and other local departments, as well as staff from other gateways.
Process crew member passport and visa requests, interfacing with our expeditor, ACP's, Crew Scheduling, and SDF Flight Administration. Process jury duty notices for ANC crew members. Process Leaves of Absences at ACP direction. Process catering reports and other duties associated with crew catering. Check in jumpseaters on UPS Flights. Maintain files in pilot crew room to provide flight operations forms necessary to the ANC Gateway.
Audit forms and files for supply and currency. Post bid awards, safety bulletins, and UPS memos. Order office supplies and perform other miscellaneous duties. Escort jumpseaters, visitors, repair personnel, and other vendors as needed.
Job Summary:
Provide Administrative support to the ANC Chief Pilot Office and crew members based in Anchorage, AK.
Required Skills:
Familiarity with UPS Airline Operations. Strong skills in MS Excel, MS Word, and MS Outlook. Must be able to work independently. Valid driver's license.
Additional
Skills:
High emphasis on attention to detail and professional communication with crew scheduling, passport/visa expeditor, ACP's, crew members, and international gateways. Maintain ramp driving qualification.
Interpersonal
Skills:
Requires excellent communication skills, both verbal and written. Problem solving skills. Strong conflict management skills. Must be a team player.
