Position: EMS BILLING COORDINATOR (FIRE DEPARTMENT)

EMS BILLING COORDINATOR (FIRE DEPARTMENT)

Incumbent serves as EMS Billing Coordinator for the Anderson Fire Department responsible for billing of ambulance services.

DUTIES:

Processes and files estate and various insurance claims, such as Medicare and Medicaid, including filing claims for patients and services, responding to inquiries regarding billing and unpaid claims.

Processes billing, including mailing notices, collecting outstanding accounts, arranging payment plans, collecting monies, making bank deposits, entering data on the computer, and updating patient records, such as address changes and deaths.

Performs a variety of bookkeeping tasks, including maintaining and reconciling ledgers, budget and checking accounts, entering data on the computer, performing monthly close-out of accounts, preparing monthly statistical and collection reports, refunding and receipting over payment, performing quarterly write-off and transferring funds, as needed.

Compiles account documentation and forwards delinquent accounts to prescribed collection agency. Represents the Department in all court cases dealing with outstanding accounts.

Answers telephone and greets office visitors, determines nature of call, responds to inquiries, and/or routes caller to appropriate person or department.

Assists with typing correspondence, letters, memorandums, and related documents for Fire Chiefs, and files all completed documents.

Performs duties of Department Secretaries and Payroll Clerk in their absences, or as assigned.

Performs related duties as assigned.

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED. Must be bondable.

Working knowledge of standard office policies and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.

Working knowledge of and ability to comprehend prescribed policies, procedures, and processes for billing of ambulance services to Medicare, Medicaid, and a variety of insurance agencies.

Working knowledge of bookkeeping software, basic accounting principles and applicable State Board of Accounts requirements, and ability to perform arithmetic calculation and accurately receive, record, and receipt monies.

Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, Dictaphone, telephone, fax machine, typewriter, copier, and calculator.

Working knowledge of Standard English grammar, spelling, punctuation, and ability to compose and prepare correspondence and reports. Ability to maintain confidentiality of Department records and information as required.

Ability to understand and follow oral and written instructions, and work with others in a team environment often under time pressure.

Ability to effectively communicate orally and in writing with co-workers, other City departments, medical, bank, and insurance personnel, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

Ability to periodically work extended hours, and occasionally travel out of town for training.

II. RESPONSIBILITY:

Incumbent performs a variety of bookkeeping and clerical duties according to a formal schedule with priorities primarily determined by seasonal deadlines and service needs of the public. Work is reviewed in progress and upon completion of specific duties for compliance with legal requirements and appropriate service to the public.

Errors in incumbent’s work are usually prevented through procedural safeguards and legally defined procedures. Undetected errors may result in loss of money to the Department, work delays in other departments/agencies and/or inconvenience to the public.

III. PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with department personnel, other organizational units, medical, bank and insurance personnel, and members of the general public for purpose of exchanging and explaining information.

Reports directly to the Fire Chief.

IV. PHYSICAL WORK:

Incumbent performs duties in a modern office environment with no unusual physical demands.
