Position Summary
The Business Office Coordinator
- Pharmacy Billing is responsible for directing and coordinating the administrative and accounting functions of the pharmacy business office while ensuring compliance with applicable federal, state, and organizational regulations. This role oversees billing operations, credentialing, contract administration, financial reporting support, and day-to-day accounting processes to ensure efficient and accurate business operations.
Education & Experience
- High school diploma or equivalent required.
- Associate degree in Business Administration or related field preferred.
- Minimum of three (3) years of experience in an administrative supervisory role.
- Strong knowledge of insurance billing practices.
- Understanding of Medicare, Medicaid, and Veterans Affairs (VA) regulations and reimbursement processes.
- Experience with healthcare billing and collections preferred.
- Knowledge of laws and regulations related to personnel administration and healthcare operations.
- Understanding of Medicare compliance requirements.
- Pharmacy regulatory knowledge preferred.
- Proficiency in Microsoft Excel, Word, Adobe Acrobat, and other business software applications.
- Experience managing data processing systems, business transactions, contracts, and credentialing applications.
- Ability to prepare reports, maintain records, and analyze financial information with accuracy and attention to detail.
- Strong communication and customer service skills.
- Ability to interact professionally and diplomatically with employees, residents, families, vendors, visitors, and regulatory agencies.
- Ability to independently manage multiple priorities and deadlines.
- Strong attention to detail when resolving billing issues, collections inquiries, refunds, and accounting discrepancies.
- Demonstrated ability to take initiative, coordinate projects, and follow through on assigned responsibilities.
- Must obtain South Carolina Pharmacy Registration within six (6) months of employment.
Accounting & Financial Operations
- Oversee daily operations of the accounting department and ensure compliance with established policies and procedures.
- Maintain and enhance accounting systems to accurately reflect operational costs and financial performance.
- Process and verify invoices, purchase orders, payments, vouchers, and supporting documentation.
- Research and resolve discrepancies with vendors and maintain accurate financial records.
- Assist with preparation of monthly financial statements, balance sheets, budgets, and statistical reports.
- Reconcile bank statements and support internal and external audits.
- Complete and reconcile monthly expense reports.
- Review, investigate, and follow up on accounting discrepancies to ensure timely resolution.
- Assist with financial planning activities, budgeting, and management reporting.
- Coordinate pharmacy billing activities and ensure timely and accurate processing of claims.
- Address billing questions, collection issues, payment concerns, and refund requests with professionalism and discretion.
- Maintain organized filing systems and business records in accordance with company and regulatory requirements.
- Support the development and implementation of office procedures and workflow improvements.
- Oversee completion and renewal of all licensing, registrations, and credentialing requirements.
- Maintain pharmacy profiles within the National Council for Prescription Drug Programs (NCPDP) database.
- Maintain accurate ownership records and regulatory documentation.
- Ensure adherence to applicable healthcare, pharmacy, and financial regulations.
- Coordinate contract management processes to ensure timely execution, renewal, and record retention of agreements.
- Monitor office supply and equipment needs, arrange repairs, and maintain operational readiness.
- Assist with pharmacy payroll oversight and generate reports for leadership as requested.
- Participate in training programs, workshops, and staff meetings to remain current on regulatory requirements and industry best practices.
