The Registrar provides office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks, the Registrar works closely with the staff and administration of USD
385. The Registrar assists with computer entry during enrollment, inputs new student information, schedules, makes schedule changes, and prints schedules. The Registrar prepares and mails enrollment packets, requests records from previous schools for all new students, and inputs transcript information to transcript files showing courses, grades, and credits. The Registrar calculates GPA and updates GPA information on the computer, sends letters to parents regarding retentions and demotions, coordinates all information for the curriculum guide from department heads, makes all changes, and prepares copies for printing.
The Registrar assists with the Master Schedule, inputs enrollment course selection, teacher name changes, and room number changes in the computer, and inputs student pre-enrollment schedules. The Registrar assists counselors' office with schedule changes, updates parent information in the computer, prepares student documents as requested, completes insurance forms for Good Student Discount when requested, processes student transcripts when requested, checks schedules for enrollment errors and schedule problems, enrolls new students throughout the school year, follows up on all incomplete grades and enters in the computer after report cards distributed, coordinates report card distribution, prepares Honor Roll list for newspaper and sends to ESC, inputs Summer School courses, grades, and mails grades to schools of out-of-district students, works with students with dual credit college classes, including enrollment, dropped classes and posting of grades, serves as liaison with local colleges to provide student eligibility requirements, analyzes incoming senior transcript checking specifically graduation credit, maintains ongoing evaluation of all senior grades, courses, and graduation requirements, assists in preparation of letters for seniors who failed courses needed to graduate, prepares list of mid-term graduates, informs teachers, and checks credits/first semester grades, verifies correct spelling of names for diploma and prepares walking partner/graduation seating chart, orders diplomas, prepares senior list of names, and consults each senior personally for correct spelling of name, prepares and distributes senior checkout forms, evaluates foreign student for grade placement and maintains records once placed at AHS, calculates class rank for all students each semester (including finals for Seniors), posts GPA, graduation date, final class rank, and principal's signature on transcripts, mails final Senior transcripts to post high school destination, works with other school districts regarding out-of-district TMH students, includes quarterly attendance reports, report cards, and state assessment testing, collects and analyzes data related to K Scholars Curriculum Rosters and honors awards for SR Honors Recognition Banquet (including development of certificates), works with principal on annual building and discipline reports, collects and prepares documentation for annual count day and subsequent state auditor, maintains testing records in Power School for PLAN, PSAT, SAT, ACT, etc.
SAT and ACT, serves as school coordinator for student records in State mandated database: KIDS. Other duties as assigned by the principal.
