What this job involves:
The Facilities Coordinator will provide support to the Site and Facility Management Operational Team by assisting with accounting and finance, Vendor oversight, procuring equipment and supplies and proactively developing and maintaining client relationships to ensure that expected service levels are achieved within the controlled environment of a Life Science high-end account.
What your day-to-day will look like:
* Actively support a culture of teamwork, cooperation, performance excellence, and personal success
* Respond to all work order procurement requests in a timely manner, ensuring KPI compliance and excellent customer service
* Identify opportunities for improved operation, service excellence and cost savings and make well thought out recommendations
* Provide information and direction to Client, Vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption
* Assist in Vendor onboarding as required
* Update and maintain accurate records and official documentation for the site/s including purchase order and invoice tracking
* Support multiple departments within JLL from a procurement, vendor development, and contracting perspective
* Other duties as assigned
Client Relationship Management
* Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators
* Coordinate site operations in accordance with all agreed policies, procedures and contract scope
Required Qualifications
* Associate degree in Finance or related field
* Proficiency in a range of office administration tools and platforms including Microsoft Office Products (Excel, Outlook, Word)
* Understanding of basic financial and accounting practice, concepts and terminology
Other requirements
* Excellent communication, organization and problem-solving skills
* Exceptional Client-focused hospitality mindset with the positive and proactive approach to always identifying a solution
* Ability to work independently with little supervision and effectively deal with stressful situations
* Self-motivated; confident, energetic and flexible
Preferred Qualifications
* Bachelor's degree in finance or related field
* Prior experience in finance within a facility, pharmaceutical or bio-tech environment
* Understanding the basic technical aspects of facilities (i.e. types of Vendors that provide various services) is advantageous.
Work Shift:
* Monday - Friday, from 8:30 am - 5:00 pm
This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
Estimated compensation for this position:
68,640. USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
