Administrative Lead

We are seeking a highly organized, proactive, and detail‑oriented Administrative Lead to provide comprehensive support to our PhRD Management Teams, Leadership Team (LT), and staff located in Andover, MA. In this role you will serve as the operational anchor for our team—ensuring seamless day‑to‑day activities, managing complex schedules, and leading coordination efforts for facilities, IT, and HR‑related processes.

Responsibilities
  • Provide comprehensive administrative support to PhRD Management Teams, the Leadership Team (LT), and staff located in Andover, MA.
  • Manage meeting logistics, including agendas, materials, invites, summaries, key decisions, and action items while handling sensitive information with discretion.
  • Coordinate all aspects of departmental or global meetings: conference rooms, teleconferences, video conferences, catering, and visitor access.
  • Maintain complex calendars, manage travel arrangements, and process expense reporting for LT members.
  • Collaborate with and serve as backup for other administrative colleagues in St. Louis or Cambridge and liaise with administrative partners across the organization.
  • Submit tickets for computers, printers, and facility issues; order general office supplies; and coordinate office equipment changes with support departments.
  • Schedule interviews for staff, colleagues, and contractor positions.
  • Support onboarding and off‑boarding of colleagues and contractors, including coordinating office space, computers, phones, and corporate AMEX cards.
  • Support organization and execution of departmental events, including catering and location coordination.
  • Lead special projects assigned, acting as a lead on administrative workflows.
Minimum Requirements
  • High School Diploma or GED with at least 6 years of experience.
  • Demonstrated ability to carry out the administrative and operational functions described above.
  • Advanced Microsoft Office skills (Outlook, Excel, PowerPoint).
  • Strong organizational, interpersonal, written and oral communication, and project management skills.
  • Excellent attention to detail and problem‑solving skills, consistently demonstrating resourcefulness and perseverance through ambiguous situations.
  • Ability to manage multiple tasks, meet tight deadlines independently, and work collaboratively in a matrix organization.
  • High flexibility, initiative, and a positive, enthusiastic attitude, with the ability to work independently and in team settings.
  • Proven efficiency and accuracy in all administrative functions.
Preferred Requirements
  • Working knowledge of general administrative functions, including telephone/e‑mail etiquette, cross‑site access, and Pfizer Travel & Expense.
  • Proficiency in Pfizer systems such as Ariba, SharePoint, One Note, GDMS;
    SharePoint website management knowledge is preferred.
  • Experience using common AI tools (e.g., Google Gemini or Microsoft Copilot) to support problem solving and enhance productivity, with curiosity about responsible AI practices.
