We’re hiring a Sample Coordinator to support our Quality Assurance team by managing sample scheduling, coordination, and organization. This role reports to the VP of Quality Assurance and plays a key administrative and operational role in keeping order timelines, sample flow, and approvals on track.

What You’ll Do

Sample Flow (Inbound / Outbound)

  • Manage and track all incoming and outgoing product samples across multiple active orders.
  • Coordinate sample shipments, including inbound receipts, internal distribution, and outbound shipments.
  • Work with the Quality team to coordinate shipment of replacement items to customers as needed.
  • Maintain accurate sample logs for all check-ins and check-outs.

In-House Sample Organization & Control

  • Build and implement the in-house sample storage organization from the ground up, establishing structure, standards, and controls.
  • Own the organization, control, and physical integrity of all in-house samples.
  • Design and maintain a clearly labeled and structured sample storage environment to ensure traceability and accessibility.
  • Establish and enforce standards for sample categorization, labeling, tracking, and storage.
  • Conduct periodic audits to ensure sample records and physical inventory remain accurate and complete.

Schedule & Order Management

  • Own sample timing for active orders and communicate regularly with overseas teams regarding upcoming, delayed, or late samples.
  • Coordinate with international vendors and partners; this role may require occasional early-morning or late-evening communication to align across time zones.
  • Monitor sample readiness and testing progress against order schedules.
  • Identify risks, bottlenecks, or missing inputs and proactively flag issues to keep orders on track.

Cross-Functional Coordination

  • Coordinate sample flow between Quality Assurance, Design, Purchasing, Sales, vendors, and external testing labs.
  • Serve as a central point of contact for sample status, availability, and timing.
  • Support alignment between physical sample control and order schedules.
  • Support sales meetings, customer presentations, and trade show preparation by organizing and managing required samples.
What You Bring

Required Experience & Skills

  • Experience with order coordination or schedule management, including tracking multiple items or orders simultaneously.
  • Hands‑on experience with sample, inventory, or materials management.
  • Strong organizational skills, attention to detail, and accountability.
  • Comfort coordinating with overseas teams and working non‑standard hours when needed.
  • Clear written and verbal communication skills.
  • College degree not required, we prefer a candidate with applicable experience.

Preferred Qualifications

  • Experience in consumer products, product development, QA, or supply chain environments.
  • Comfort working in Excel or similar tools for tracking, reporting, and inventory control.
Physical & Workplace Requirements
  • Ability to regularly lift, carry, and move boxes weighing up to 50 lbs.
  • Comfortable using basic hand tools and assisting with light assembly, breakdown, or organization of samples and storage areas.
  • Will frequently walk throughout office spaces and storage/sample rooms to maintain organization and coordinate sample flow.
  • Ability to stand, bend, reach, and move between locations throughout the workday.
  • Hands‑on, proactive approach to maintaining a clean, organized, and efficient sample environment.
