Job Description s:
Assist the Project Manager in coordinating and managing projects throughout the project lifecycle
Prepare and maintain project schedules, ensuring alignment with customers, team members, vendors, and subcontractors
Prepare the Project Management Plan (PMP) for Quality Assurance Documentation (QAD) and Management Review
Liaise with the QA team to obtain and manage project documentation numbers
Set up project documentation and initiate project jobs
Prepare subsystem budgets and provide budget information to the System Team
Coordinate with the Finance Monitoring Team and Finance Department on Performance Bonds (PB), (BG), insurance, and other project-related financial matters
Liaise with Procurement and Legal on vendor contracts and other contract-related matters
Prepare installation-related Bills of Quantities (BQ) and subcontractor scope of work for purchase orders or tender submissions
Work closely with Procurement to source materials and obtain competitive pricing before subcontractor award
Monitor project schedules, material procurement, and delivery to ensure project milestones are achieved
Track project costs and ensure timely sales recognition
Prepare and submit progress claims, variation orders, and quotations
Raise Purchase Requisition s (PR) for installation-related materials and coordinate procurement activities
Attend project and site meetings with customers, consultants, vendors, and internal stakeholders
Ensure project deliverables comply with contractual requirements
Monitor project risks, quality, and workmanship throughout project execution
Prepare and provide regular project status updates to management
Ensure customer requirements and project information are communicated effectively to all project team members
Coordinate project close-out activities and ensure proper handover to the maintenance team
Perform any other project-related duties assigned by the Project Manager
Bachelor's Degree in Engineering, Information Technology, Project Management, Business Administration, or a related field
Minimum 2 years of experience in Project Coordination, Project Administration, or Project Management
Strong knowledge of project coordination, documentation, scheduling, procurement, budgeting, and contract administration.
PMP certification is an added advantage
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
Experience using project management tools (e.g., Microsoft Project or equivalent) is an advantage
Ability to manage multiple priorities and work effectively in a fast-paced environment
Able to work independently as well as collaboratively within cross-functional teams
