Job SummaryThe Rackham Graduate School seeks an Administrative Coordinator/Project Coordinator to serve as a member of the Partnerships for Access, Community, and Excellence (PACE) team. This position will provide program administrative support and event coordination for several prestigious initiatives within PACE and will also provide administrative support for the PACE team, including coordination of student employees. This position reports to the Director of Access and Inclusion.
PLEASE NOTE:
This position may occasionally require work outside of regular business hours, including evenings or weekends. This position may occasionally require the ability to transport and set up meeting and event supplies to various locations within the Rackham building and to other campus and off-campus locations.
Rackham is currently offering hybrid work schedules to staff, requiring 2-3 days per week on-site with the remaining time being remote.

Job responsibilities include but are not limited to:
PACE Team Administrative Support:
This position provides comprehensive administrative support to the PACE team, overseeing scheduling, communications, documentation, reporting, and supply management. The role includes calendaring support for the team co-Directors, maintaining and sharing recruitment databases and related resources, managing team file systems, and assisting with recruitment and access/opportunity grant activities.
Program Administration Support:
This position provides comprehensive administrative support for key PACE programs, with responsibilities that include maintaining accurate program records and data; managing financial transactions, including purchasing of all program materials, tracking expenses, and processing payments, reimbursements, and honorariums; and coordinating travel and accommodations for guests. This position will partner with PACE Academic Program Managers to provide support in responding to PACE program application email boxes, monitoring application submissions to PACE programs, and assisting in application file management.
This position is also responsible for support of the application process for summer programs, including monitoring submissions, tracking progress, and serving as the primary contact for all applicants. For students admitted to summer programs, this position helps establish student affiliate accounts and access to university facilities. Additionally, the position ensures PACE student databases and communications are kept current and well-organized.
The role liaises regularly with Rackham's HR, Finance and Fellowships, and Communications teams to ensure effective program operations.
Event Coordination:
Event coordination is a key function of this position and includes planning and organizing all PACE team events. Responsibilities encompass creating event registrations, reserving event spaces, arranging catering and vendor services, and providing on-site event support. During events, the incumbent prepares event venues and materials, addresses guest requests, coordinates student check-in, and resolves any issues that arise. Following each event, this role leads event evaluations and compiles feedback to inform future planning.
Student Staff Coordination:
This position also supports the hiring, onboarding, supervision of student temps, and professional development of PACE student staff, including temps and work-study students. Responsibilities include managing student applications, serving as a liaison with Rackham HR, organizing student work spaces, processing permissions, coordinating work schedules, monitoring timesheet submissions, and serving as the primary contact for all student staff.
