What You Will Do
The LANL-Michigan Strategic Partnership and Accelerated Research Collaboration (SPARC) is a unique joint-research environment established to enable revolutionary advances in science and engineering in support of our nation's interests. SPARC, which is located on the University of Michigan campus in Ann Arbor, is seeking a highly motivated, reliable, and well-organized Professional Staff Assistant to provide operational, communications, and administrative support for SPARC personnel at the Ann Arbor duty station.
The successful candidate will report to the SPARC Co-directors and provide daily administrative and operational support to LANL technical staff, interface with leadership and staff at the Los Alamos site, and serve as first point of contact for information and visit requests. Other duties will include organizing workshops/conferences, seminars, meetings, and official travel; coordinating communications, such as newsletters and websites;
and interfacing with University of Michigan personnel in support of collaborative events and activities.

What You Need MinimumJob Requirements
Professional Staff Assistant 1 ($64,700-$101,400)
Administrative Support
Experience providing professional administrative support, including answering phones, calendar management, meeting logistics, travel coordination, and executing procurements. Demonstrated ability to handle sensitive information with professionalism and discretion.
Business Systems
Expert level knowledge of and experience with Microsoft Teams, Microsoft Office, Zoom, Google Workspace, and/or other common business systems. Demonstrated ability to gain proficiency with new software and business systems.
Organization and Time Management
Demonstrated ability to organize, manage, and follow through on multiple simultaneous tasks, often with strict deadlines, with shifting priorities and frequent interruptions.
Communications
Excellent verbal and written skills and interpersonal communication. Experience interacting with internal teams and external partners to provide prompt, professional, effective assistance. Ability to produce and edit professional communications including correspondence, memos, reports, and outreach materials.
Personal Leadership
Demonstrated ability to provide dependable onsite support and professional representation to an organization, and to operate calmly and efficiently with moderate-to-low supervision.
Q Clearance
Ability to obtain a Q clearance which typically requires U.S. citizenship.
Education/Experience
Position requires a Bachelor's degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the position. Undergraduate coursework may be expected at this level.
Desired QualificationsLANL Business Systems
Familiarity with LANL specific business systems including Oracle, Foreign Visits Tracking System, Concur, Ariba, badging, web CMS, and UTrain. In-depth knowledge of Laboratory organization, operations, policies, and procedures.
University of Michigan Systems
Familiarity with University of Michigan systems and processes including scheduling, charging, and contracting.
Work LocationThe work location for this position is onsite and located in Ann Arbor, MI. All work locations are at the discretion of management.
Position CommitmentRegular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year or 2 years.
