Job Overview
The primary role of this position is to support project managers by ensuring their projects are compliant with HDR's Quality Management System (QMS) and by providing project administrative and assistant project manager support.
Key Responsibilities- Work with project managers to ensure 100% compliance with the requirements of HDR's QMS. This includes gaining a full understanding of the QMS program, accurately explaining the requirements to project managers, and being responsible for project review meeting scheduling, document preparation, participation, and follow-up.
- Set up projects efficiently: creating project folders, developing Project Management Plans and Quality Management Plans, loading project review and quality check schedules into HDR's project management software, setting up project mailboxes, communication tools, and project review and kickoff meetings.
- Provide administrative support during project execution, including meeting coordination, maintaining accurate files from kickoff through closeout, performing document control for incoming and outgoing documents, assisting project managers with status updates/reports/invoices, and coordinating deliverable development.
- Coordinate all aspects of meetings: send Outlook invitations, finalize and distribute electronic materials, print handouts, attend meetings, and capture meeting minutes.
- Record completion of project review meetings, finalized Quality Control Activities, and similar activities.
- Download financial and labor data from HDR's project management software and organize into comprehensive reports and dashboards for internal or external presentations.
- Technical editing of deliverables, including proofreading and working with technical staff to edit documents for format, clarity, consistency, grammar, spelling, and punctuation.
- Communicate clearly and effectively with both internal and external clients regarding project inquiries or department procedures/requirements.
- Ensure compliance with corporate branding and template standards as well as client standards and expectations.
- Work under minimal supervision and meet compressed deadlines.
- All other duties as assigned.
- Bachelor's degree.
- Associate degree in a closely related field or a combination of education and relevant experience.
- Minimum of 1 year of related experience.
- Proficiency in Microsoft Word and Excel.
- Commitment to being an active participant in HDR's employee‑owned culture.
