About the Position
The Department of Radiology is seeking a qualified Administrative Assistant to provide administrative support for the PET Center.
Key Responsibilities- Provide general administrative and office support for the PET Center/lab, including updating and formatting CVs.
- Hosting: coordinate group hosting activities and logistics, reserve rooms, set up virtual/hybrid meeting links, arrange catering, prepare welcome materials, track RSVPs, and follow up post‑event.
- Purchasing/Procurement: order laboratory and office supplies via MMarketsite, obtain vendor quotes, prepare documentation, coordinate funding, track deliveries, and maintain supporting documentation.
- Reconciliation: perform monthly reconciliation of P‑card activity and encumbrances, collect receipts and backup documentation.
- Travel & Reimbursements: assist faculty, staff, and students with travel planning and booking, and prepare reimbursement requests in Concur.
- Records Management/Filing: build and maintain hard‑copy and electronic filing systems, support PI publication uploads to Pub Med Central, and maintain MyNCBI accounts.
- HR/Personnel Support: track new hires via a Teams board, coordinate onboarding and offboarding, and approve timesheets.
- General Clerical Support: answer phone inquiries, take messages, maintain calendars, schedule meetings, prepare agendas and minutes, and submit facilities and IT tickets.
- Perform other related duties assigned to support PET Center operations.
- Bachelor's Degree in business or related field plus 2‑4 years of experience, or equivalent combination of education and experience.
- 4+ years of experience in Research Administration preferred; background in science and understanding of the research process highly regarded.
- Experience managing a high‑traffic, multi‑constituency office desired.
- Experience with Elements, Concur, MPathways, and UM purchasing methods strongly preferred.
- Proficient in Microsoft Office Suite;
Word, Excel (required), Access, PowerPoint, Adobe Acrobat, and One Note. - Excellent interpersonal, verbal, and written communication skills.
- Strong organizational skills with the ability to set priorities and manage multiple tasks simultaneously.
- Proven ability to work independently and as part of a team.
- Strong computer skills, with thorough Excel knowledge required.
- Experience with Wolverine Access, Business Objects, M-Stat, and Access database strongly preferred.
- Knowledge of University of Michigan policies and procedures strongly preferred.
40 hours per week.
