Administrative Assistant – Powertrain Calibration Engineering

What you will be doing:
Provide administrative and coordination support to the PCE1 team to ensure efficient operation of department activities. This role will support engineers and management by coordinating schedules, managing documentation, and facilitating communication across internal and global stakeholders, including TMC counterparts.
- Coordinate calendars, meetings, and travel arrangements for team members and leadership
- Support preparation, formatting, and distribution of technical reports, presentations, and meeting materials
- Track and follow up on action items, project updates, and key deliverables
- Maintain department records, SharePoint sites, and documentation systems
- Support onboarding activities, travel reservations and general team logistics
- Coordinate communication with cross-functional teams and global counterparts (including Japan)
- Assist with budget tracking, expense reporting, and administrative processes
Essential:
- Associate's, Bachelor's degree or equivalent work experience
- 3+ years of recent strong administrative support experience supporting senior leadership
- Knowledge of SAP/Ariba
- Strong proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Outlook, Teams). Candidates must be tested prior to submitting and must score 80% or better to qualify
- Strong organizational and communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Experience supporting engineering or technical teams
- Experience working in a global environment, including coordination with Japan
- Familiarity with SharePoint or document management systems
- Familiarity with advanced visualization/analysis packages (e.g., Power BI)
- Openness to explore new tools and methods (e.g., AI) to improve work efficiency
- Experience supporting project tracking or reporting activities
