Front Desk/Receptionist, Office Administrator/ Coordinator
Summary
This individual serves as a receptionist and performs work that is varied and generally administrative or project oriented. As the first point of contact for guest families, volunteers, donors, vendors, and visitors, this position creates a warm, welcoming, and helpful environment for everyone in the House. Supports the hospitality cart and other programming as needed, including Meals Matter, while helping ensure a positive experience for all who enter the House.
Hours:
M-F 10am-4:30pm
- Serve as an ambassador for Ronald McDonald House Ann Arbor by providing exceptional hospitality and customer service to guest families, volunteers, donors, and visitors.
- Greet and assist guest families, visitors, volunteers, donors, vendors, and community partners in a warm, professional, and welcoming manner.
- Answer incoming calls to the general number and transfer to appropriate staff member or take a message.
- Receive and process in‑kind donations, ensuring required documentation is completed and donations are directed to the appropriate location.
- Respond to guest family inquiries and connect families with the appropriate staff member, resource, or service.
- Record/update various lists, inventories, documents, etc. as directed.
- Coordinate catered meal deliveries (lunch/dinner, etc.), as directed.
- Assemble, collate, and package various items for the guests and hospitality cart.
- Assist with other tasks as requested by the Program Director.
- Maintain a professional, organized, and welcoming reception and lobby area.
- Assist with Family Services activities and House programming to support family experiences.
- Maintain confidentiality of guest family, donor, volunteer, and organizational information.
- Monitor front desk activity and promptly communicate safety, security, or guest concerns to appropriate staff.
- Assist with data entry, filing, mail distribution, copying, and other administrative tasks as assigned.
– An equivalent combination of education, training and experience will be considered
- High School diploma or GED required.
- Some office experience desirable; not required. Previous work experience as a receptionist, front office representative, or in a customer service‑focused role (such as hospitality or retail) is highly valued.
- Volunteer work in a group environment helpful.
- Friendly, helpful and professional demeanor while working with a wide variety of individuals.
- Basic knowledge of Microsoft Office applications required.

- Able to be discreet and safeguard guest information.
- Presents a consistent, even‑tempered demeanor while assisting others.
- Able to perform a wide variety of tasks accurately and within the given time frame.

While performing the duties of this job, one must be available to work irregular hours and occasional weekends. The noise level in the work environment is usually moderate. Ability to travel throughout Ann Arbor area may be required.
Physical Abilities- Light sedentary office work. Frequently required to sit. The job will require some lifting of boxes/packages. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
- Physically able to travel between Ronald McDonald House Ann Arbor locations and others via personal vehicle or similar convenience.
- While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel; talk or hear.
- Must be physically capable of carrying 35 lbs.
