Job SummaryThis role will answer phones, transmit calls, act as receptionists for visitors, staff, and individuals served in office and traffic in/out of agency. Perform clerical duties (scanning, data entry, copying, faxing, filing) to assist administrative staff. Order office supplies and maintain supply inventory. Coordinate and manage staff training. Coordinate transportation for the programs and take attendance. Provide administrative support to all departments as needed.
The schedule is 8am-5pm, Monday – Friday.
- Answer the telephone in a pleasant and efficient manner.
- Greet and direct visitors using customer service skills.
- Receive, open, and date stamp all mail.
- Stamp all checks for deposit.
- Monitor client traffic in and out of building.
- Prepares all packets for program staff.
- Files external incident reports.
- Order office supplies for all locations and maintain supply inventory.
- Assist with daily attendance procedure at McKercher.
- Coordinate all transportation for the programs.
- Manage employee training compliance by maintaining training records, coordinating organizational training calendars, creating and assigning new-hire training profiles, and providing monthly compliance and training status reports to leadership.
- Creates office name plates and employee badges for new hires.
- Keep the work area and front lobby area clean and organized. Assist with break area cleanliness, as needed.
- Exhibit good safety skills and play a role in emergency procedures.
- As time permits, provide general clerical support (scanning, data entry, faxing, copying, filing, and reporting) to finance, human resources and other administrative and program departments as needed.
- Completes other miscellaneous duties as assigned.

- A minimum one year secretarial and/or reception experience, required.
- Interpersonal skills to communicate with and interact positively with customers, visitors, and clients.
- Judgement sufficient to recognize important situations and handle them accordingly.
- Organizational skills to keep office organized and keep track of requests received at irregular intervals.
- Working knowledge of Microsoft products including Windows, Word and Excel preferred.
- Ability to operate office equipment such as multi-line phone system and copy/scan/fax machine.
- Ability to perform data entry using a computer keyboard.
- Ability to identify staff, clients and visitors to monitor traffic.
- A criminal records check, driver's license check, recipient rights screen and pre-employment drug screen are required.
- Valid Michigan driver's license, good driving record and the availability of licensed, insured vehicle for use on the job required.
- Associate or Bachelor's Degree preferred, but not required.
- Ability to operate a computer keyboard at acceptable levels of quality and speed and other general office equipment as needed to perform the essential functions of the job.
- Physical ability to sit for prolonged periods of time.
- Physical ability to work in front of and view a computer terminal for prolonged periods of time.
- Must be able to work a regular full-time schedule.
- May occasionally require lifting up to 35 pounds.
- May be exposed to blood borne pathogens, infectious diseases, and parasites.
