Administrative Specialist

The Office of the Chief of Advance Practice Nursing (APRN) is seeking a highly qualified administrative professional to provide administrative and project related support for the Office of the Chief Advanced Practice Nurse (APRN). This position requires an individual to work with a high degree of accuracy, professionalism, and confidentiality in a fast-paced work environment. The successful candidate will have the skills and knowledge to implement and follow organizational policies and procedures, have a strong customer service focus, as well as being an effective communicator (written and verbal), problem solver, and team member.

The successful candidate in this role will be responsible for standard work as well as a variety of projects that will provide support to the administrative and operations functions of the Office of Advanced Practice Nursing. This position involves a high degree of flexibility, requiring the ability to work proactively, both independently and as part of a team. This position requires the confidence and competence to make independent decisions on matters of significance free from immediate direction.

Administrative:

Perform diverse and confidential administrative support for Chief APRNs and APRN Directors. Tasks may include but are not limited to the following activities:

  • Manage correspondence and communication (verbal, written, and e-mail) using independent judgment, and requiring a high degree of confidentiality, discretion, and professionalism
  • Provide high-level, pro-active support for executive and other key meetings, including scheduling, meeting material and agenda content tracking and preparation, attending meetings and taking minutes and/or notes, tracking action items and decisions made, and generating all necessary follow-up correspondence to ensure work is completed as appropriate to support related meeting business, projects and/or phases of associated projects, and to prep for subsequent meetings
  • Provide complex calendar management, exercising discretion and judgment to analyze and appropriately prioritize complicated and challenging calendars
  • Assist with developing, editing, and reviewing presentation materials for content, grammatical, and/or presentation style; provide and/or coordinate information and materials for upcoming presentations and/or analysis
  • Subject matter expert for APRN shared governance committees. Review and update charters, update dashboards. Provide support for the APRN Central Committee, CNS forum and other APRN shared governance needs, as identified
  • Provide support for the Nurse Practitioner Professional Practice Ladder (NP-PPL) sessions and review committee including administrative support, marketing, PAR entry. Handle details for town halls, manage applicants and track applicants, manage analytics. Participate in publication writing workgroup
  • Provide support for the NP-PPL Publishing Group, including administrative support, data collection and analysis
  • Function as the communications lead for Department of APRN
  • Provide support and marketing for the APRN Professional Development Series. Identify and coordinate speakers and all details of the events
  • Provide support for the APRN Transition to Practice program, including registration and scheduling. Monitor all new hires and transfer, including CNS, NP, CNM and CRNA hires. Assign members to School of Nursing Canvas site. Coordinate with session presenters. Prepare and distribute CE certificates
  • Manage and update APRN websites/SharePoint sites (CNS & NP)
  • Coordinate and manage all events for APRN Week
  • Complete business travel arrangements, including registrations, transportation, lodging and process p-card expenses through Concur/Shared Services
  • May assume ownership of administrative policy maintenance and updates, as needed
  • Event planning and coordination
  • Other administrative duties as identified

Personnel:

Perform human resource support for the Office of the Chief APRN, as needed. Activities may include, but are not limited to the following activities:

  • Assist with development of job descriptions for postings; serve as liaison with the Michigan Medicine HR Solutions Center to process job postings, offers, and appointments
  • Coordinate onboarding and offboarding for faculty, staff, and students
  • Assist with coordination of the annual performance evaluation process
  • Assist with tracking vaccine, safety, compliance, and licensure requirements, as needed
  • Systems transactions and support - Accesses, understands, and appropriately utilizes UM proprietary database/software systems (M-Pathways, Finance BI, Concur, eRecruit, Cornerstone Learning, etc.)
  • Other responsibilities and/or projects as assigned

Required Qualifications:

  • Demonstrated knowledge of nursing practice and operations, including advanced practice nursing and shared governance models
