SUMMARY

The Building Secretary provides full spectrum administrative support to the Building Principal and his/her including scheduling, writing correspondence, emailing, handling visitors, routing callers and answering questions and requests. The Building Secretary presents a positive image in contacts with staff, students, parents and community members.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Performs record keeping and general clerical functions (e.g. proofreading, filing, copying, faxing, etc.) for the purpose of supporting departmental operations.
  • Communicates with a variety of persons and/or agencies (e.g. other schools, students, staff, parents, etc.) for the purpose of providing information on a variety of enrollment and graduation issues.
  • Compiles student records (e.g. birth certificates, transfers, immunization, etc.) for the purpose of meeting state, federal and/or district requirements.
  • Prepares a variety of reports and written materials (e.g. report cards, class rankings, grade checks, failure letters, attendance activity report, etc.) for the purpose of meeting state, federal and/or district requirements.
  • Processes documents, forms, mailings and materials (e.g. new registrations, transcripts and transcript requests, withdrawals, purchase orders, bus passes, etc.) for the purpose of disseminating information and completing transactions.
  • Assists other personnel for the purpose of supporting them in the completion of their work activities.
  • Collects payments and/or fees for the purpose of completing transactions.
  • Maintains a variety of records and/or files, including student records (e.g. student schedules, budget entries, purchase orders, rosters, student cum files, emergency records, daily attendance, completed reports, etc.) for the purpose of providing documentation for audit purposes and meeting state, federal and administrative requirements.
  • Coordinates a variety of activities (e.g. "CLASS OF" for AIMS testing, calculates grade point average on graduating students, incoming seniors and incoming juniors, mail out information to parents regarding powerschool/passwords) for the purpose of delivering services in conformance to established guidelines.
  • Informs Administrators, Guidance Counselors and Guidance Technicians of possible student credit deficiencies or unusual placements (e.g. progress report and report cards to include grade verification rosters, failing list of student by grade level to counselors, calculates grade point averages on graduating students, incoming seniors, and incoming juniors) for the purpose of ensuring student success.
  • Interprets and evaluates transcripts of incoming students (e.g. independent study grades) for the purpose of transferring grades and semester credit hours into the district student information system.
  • Maintains a variety of files, documents and student records (e.g. grades, transcripts, academic achievement records, etc.) for the purpose of documenting and/or providing reliable information relative to student records.
