Position Summary:
The Office Administrator will manage daily office operations, coordinate facility management, maintain office supplies, and support administrative processes. This role is essential to ensure a well-organized, cost-effective, and smoothly running workplace.
Key Responsibilities:
Office Administration Oversee daily office operations and maintain an organized, professional environment
Handle incoming/outgoing mail and deliveries (Fed Ex, UPS, etc.)Schedule and coordinate meetings and calendars
Maintain, organize, and archive files, records, and documents
Assist with travel arrangements (flights, hotels, car rentals)
Office Supplies Management Procure and manage office supplies and consumables
Monitor inventory levels to prevent shortages or overstock
Identify cost-saving opportunities and optimize vendor selection
Facility Management Coordinate office and warehouse maintenance, cleaning, and repairs
Liaise with landlords, property management, and service providers
Ensure office safety and functionality (utilities, access, security systems)
Support basic warehouse operations if applicable
Vendor and Service Coordination Maintain relationships with vendors and service providers
Track contracts and renewal timelines
Compare pricing and support cost control initiatives
Administrative and Financial Support Assist with invoice tracking and submission
Support expense reporting and basic record keeping
Coordinate with the accounting team as needed
New Hire & Employee Support Assist with onboarding logistics (workspace, equipment setup)
Maintain employee contact lists
Support internal events and office activities
Qualifications:
Bachelor’s degree or equivalent work experience
Minimum 2 years of administrative or office management experience
Strong organizational, multitasking, and time management skills
Proficient in Microsoft Office (Excel, Word, Outlook)
Excellent verbal and written communication skills in English;
Chinese is a plus Ability to work independently and proactively with a strong ownership mindset
Preferred Qualifications Experience in vendor management or facility coordination
Experience supporting small or growing teams
Familiarity with Excel tracking, or automation tools
Cost-conscious and process-oriented mindset
Work Environment & Expectations Effectively manage multiple tasks and priorities in a deadline-driven environment.
Maintain a high level of accuracy and attention to detail while performing repetitive tasks.
Adapt quickly to changing procedures and business needs.
Demonstrate a proactive approach to problem-solving and process improvement.
Requires the ability to lift materials or boxes up to 50 pounds
May have long periods of sitting in an office environment
