Position Overview

Are you a master organizer who also loves flexing your creative muscles? We are looking for an Administrative Coordinator to join our team full-time and in-person. You will be the heartbeat of our daily office operations, the creative eye behind our marketing materials, and a reliable, high-energy presence at our events.

In this role, no two days are the same. You will handle everything from drafting purchase orders and managing member communications to designing beautiful flyers on Canva and helping run our major events. If you thrive in a collaborative, fast-paced environment and love a mix of desk work and hands‑on execution, we want you on our team!

Key Responsibilities
  • Communications Management:
    Serve as the first line of contact—sorting through daily emails and calls, routing them efficiently, and handling community inquiries.
  • Member Relations:
    Maintain strong, positive relationships with members and guests, answering questions and resolving issues with a helpful, professional attitude.
  • Financial Tracking:
    Type up Purchase Orders (POs), help track project budgets, and ...
  • Content Generation:
    Assist with typing, proofreading, and formatting articles, newsletters, grants, and event announcements.
Creative & Content Design
  • Marketing Collateral:
    Use Canva to create eye‑catching flyers, brochures, digital signage, and program assets.
  • Brand Alignment:
    Ensure all designed materials align with the JCC’s visual style, brand guidelines, and community messaging.
In‑Person Event Assistance
  • Event Readiness:
    Be on hand for regular and major events to assist with physical setup, signage, decor, and teardown.

Qualifications & Skills
  • The Multi‑Talented Coordinator:
    Proven experience in an administrative, secretarial, or coordinator role (non‑profit or event experience is a plus).
  • Tech & Design Savvy:
    High proficiency with Canva, Google Workspace, and Microsoft Office is required.
  • Strong Communicator:
    Excellent written and verbal communication skills for drafting articles, assisting with grant materials, and interacting warmly with the public.
  • Detail‑Oriented & Organized:
    Ability to accurately type up POs, cross‑reference spreadsheets, and assist with basic budget tracking.
  • Schedule Flexibility:
    Ability to work a consistent 40‑hour week in our office, with the flexibility to work occasional evenings or weekends to support major events (advance notice will always be given).
  • Physical Stamina:
    Ability to stand for extended periods during events and lift/move event setup materials (up to 25 lbs).
