Facilities Assistant
Information and Technology Services ITS at the University of Michigan is seeking a Facilities Assistant to provide day-to-day facilities support across multiple ITS buildings and work areas.
This position serves as a key point of contact for facilities-related needs, including building maintenance, space support, deliveries, office moves, phone/data requests, and audiovisual equipment issues. The Facilities Assistant will evaluate, prioritize, communicate, and respond to staff service requests, ensuring timely follow-up and resolution.
The role also serves as a liaison with U-M Facilities and Operations, vendors, service teams, and ITS staff to coordinate repairs, building access, deliveries, moves, and other facilities support needs. The ideal candidate is organized, customer-service focused, detail-oriented, and comfortable balancing multiple requests in a fast-paced environment.
Responsibilities*- Receive, evaluate, prioritize, and respond to staff service requests related to building maintenance, space needs, phone/data services, audiovisual equipment, and general facilities concerns.
- Submit and track work requests with U-M Facilities and Operations, service support groups, vendors, and other campus partners.
- Communicate request status, follow up on open items, and ensure issues are resolved in a timely and professional manner.
- Serve as a building liaison for facilities-related work, repairs, service visits, and vendor coordination.
- Assist with basic troubleshooting and coordination for common facilities, AV, and workplace support issues.
- Maintain accurate records of requests, work orders, updates, and resolutions using appropriate systems and tools.
- Coordinate, receive, and distribute incoming and outgoing deliveries, including supplies, packages, equipment, and mail across multiple ITS locations.
- Move and transport items weighing up to 50 pounds from loading docks, vehicles, storage areas, offices, and other campus locations.
- Assist staff with office moves, including coordinating and moving files, equipment, supplies, and personal work materials to new locations.
- Maintain office and general supply inventories, place supply orders as needed, and distribute supplies to staff and work areas.
- Help keep shared storage areas, supply rooms, and facilities spaces organized and accessible.
- Provide responsive, courteous, and professional service to ITS staff, campus partners, vendors, and visitors.
- Communicate clearly and effectively with individuals and groups regarding facilities requests, timelines, access needs, and service updates.
- Build and maintain positive working relationships with internal teams, U-M service departments, and external vendors.
- Handle sensitive information and access-related matters with appropriate confidentiality and discretion.
- Support a safe, functional, and welcoming work environment for ITS staff and guests.
- Contribute to the review and improvement of facilities processes, procedures, and standards.
- Help develop, update, and maintain documentation related to facilities support, building procedures, inventories, and service request processes.
- Support adoption of new tools, technologies, and business processes that improve facilities operations.
- Stay current with relevant systems, tools, and campus procedures related to facilities support.
- High school diploma or equivalent combination of education and experience.
- Minimum of one year of experience in a related role requiring customer service, organization, prioritization, confidentiality, troubleshooting, attention to detail, and the ability to work independently.
- Valid driver's license and ability to meet the requirements for operating a University-owned vehicle.
- Ability to accurately enter and maintain information in databases, ticketing systems, work order systems, or similar tools.
- Ability to move, transport, and maneuver equipment, files, supplies, and other materials weighing up to 50 pounds.
- Ability to ascend/descend stairs and move materials between vehicles, loading docks, storage areas, offices, and various campus locations.
- Demonstrated ability to use appropriate resources, systems, and tools to complete day-to-day facilities tasks.
- Strong interpersonal and communication skills.
- Demonstrated commitment to providing quality service and support in a professional environment.
- Associate degree or certification in facilities management, building operations, business operations, or a related field.
- Experience working in a higher education, technology, or office-based environment.
- Experience using work order, ticketing, inventory, or space management systems.
- Familiarity with Microsoft Office, Google Workspace, Microsoft Visio, CAD software, or similar tools.
- Experience coordinating with vendors, building maintenance teams, or campus service providers.
- Basic knowledge of office AV equipment, conference room support, or workplace technology.
