Executive Operations Assistant
Duration1 year contract - potential extensions + direct hire
Required Skills & Experience- Associate’s, Bachelor’s degree or equivalent work experience
- Right-hand support to the VP of the organization.
- Ability to manage budgets, track and create budgets, and participate in strategic planning of the business for this team.
- 3+ years of recent strong administrative support experience for senior leadership (Manager, Senior Manager, VP or Director).
- Basic knowledge of SAP/Ariba and strong proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Outlook, Teams).
- Experience supporting engineering or technical teams.
- Experience working in a global environment, including coordination with Japan.
- Familiarity with SharePoint or document management systems.
- Familiarity with advanced visualization/analysis packages (e.g., Power BI).
- Openness to explore new tools and methods (e.g., AI) to improve work efficiency.
- Experience supporting project tracking or reporting activities.
Insight Global is looking for an administrative and coordination support an engineering team to ensure efficient operation of department activities. This role will support engineers and management by coordinating schedules, managing documentation, and facilitating communication across internal and global stakeholders, including partners internationally.
Primary Responsibilities- Coordinate calendars, meetings, and travel arrangements for team members and leadership.
- Support preparation, formatting, and distribution of technical reports, presentations, and meeting materials.
- Track and follow up on action items, project updates, and key deliverables.
- Maintain department records, SharePoint sites, and documentation systems.
- Support onboarding activities, travel reservations and general team logistics.
- Coordinate communication with cross-functional teams and global counterparts (including Japan).
- Assist with budget tracking, expense reporting, and administrative processes.
