Job SummaryThe Department of Surgery is seeking a full-time Project & Education Program Coordinator (Admin/Project Coordinator) to provide administrative and project coordination support for undergraduate medical education and departmental education, quality, clinical operations, and faculty development initiatives. Working under the direction of the Department's Project Manager, this position supports the planning, coordination, and execution of strategic projects while serving as a key member of the Surgery Education office.
The individual will collaborate with faculty, learners, and administrative staff across Michigan Medicine and the Medical School to advance the Department's clinical, educational, and research missions.
- Project Coordination and Departmental Initiatives Coordinate and support department-wide projects and strategic initatives under direction of the Project Manager.
- Assist with the planning and execution of departmental programs, meetings, workshops, and special events. Manage project logistics, including scheduling, room reservations, catering, printing, communications, and meeting materials. Track project timelines, deliverables, action items, and follow-up activities to ensure timely completion. Prepare agendas, minutes, presentations, reports, and other project documentation.
- Provide administrative and logistical support for a variety of departmental programs and strategic initiatives, including, but not limited to:
- Surgical Teams Rising to Improve Quality and Clinical Excellence (STRIQE)
- Listening, Identifying, Facilitating, Transformation Together (LIFTT)
- Academy of Surgical Educators (ASE)
- Education Cabinet
- Surgery Education Office & Undergraduate Medical Education
- Support the daily operations of the Surgery Education Office.
- Cross-train to provide coverage and support for the Undergraduate Medical Education Liaison.
- Oversight of the Surgery Clerkship evaluation process, including scheduling, monitoring learner progress, auditing evaluation completion, and maintaining compliance with institutional and accreditation requirements.
- Support the Residency Preparation Course (RPC) by assisting with simulation sessions, lectures, schedules, course logistics, learner assessments, and program evaluations.
- Manage the Visiting Student Learning Opportunities (VSLO) elective process in collaboration with section faculty, the Office of Medical Student Education, and institutional partners.
- Administer the NBME examination process for the required surgery clerkship, including scheduling, exam preparation, proctoring, documentation, and adherence to NBME testing policies and security standards.
- Maintain educational records, calendars, and program documentation in accordance with institutional policies and accreditation requirements.
- Assist with educational events, meetings, and initiatives in collaboration with the Office of Medical Student Education and other institutional partners.
- Coordinate meetings for departmental leadership, faculty committees, and work groups.
- Draft and distribute correspondence, meeting materials, and departmental communications.
