Responsibilities*
  • Perform a vast range of digital imaging functions, which include:
    Identifying dental anatomy to scan, import, export, print, and mount radiographs.
  • Receive requests to fix, move, label, and merge images in a patient imaging database.
  • Provide assistance to staff, faculty and students on MiPacs functions. Use of additional X-ray software to import existing X-rays (Dolphin and Clini View).
  • Coordinate referrals submitted online, and in dashboard.
  • Create registrations for new patients when appropriate, by verifying demographics, checking for existing accounts, and notifying departments of the registration.
  • Maintain and update MiPacs log for completed requests.
  • Receive requests to upload existing documents as attachments to patient's electronic health record.
  • Scan and upload all incoming documents and radiographs from external sources.
  • Compile and maintain master list of off-site charts.
  • Update spreadsheet formulas to account for new or destroyed inventory.
  • Ensure that charts are properly coded in patient database once retrieved.
Investigate any patient
  • Collect and organize invoices for reconciling monthly invoices.
  • Monitor and update research and/or scanning lists for multiple researchers, assists researchers and faculty with IRB, and requesting records from off-site.
  • Process all record duplication requests. Communicate effectively and explain release of information policies for subpoenas, referrals, dental provider requests, patients, and all internal requests, ensuring that compliance with HIPAA and privacy standards are met.
  • Contacts include dental providers, patients, and insurance carriers.
  • Process requests, by locating patient information in a patient record and EHR(electronic health record), to facilitate duplication.
  • Send requests using various methods, including encrypted email. Keep log of all fulfilled requests.
  • Merge a high volume of duplicate accounts and report back to end users.
  • Generate queries and customized reports in a patient management database to analyze accuracy of EHR and user data. Review, verify, and update data as needed.
  • Perform QA of physical record.
  • Follow established procedures for purging dental records, and performing destroy projects.
  • Electronically sign in and out patient records with a high degree of accuracy throughout the day.
  • Track and file all patient records.
  • Maintain individual patient records by repairing or replacing chart covers.
Required Qualifications *
  • Minimum two years of clerical experience is necessary, preferably in a dental or medical office.
  • Demonstrated experience using an electronic health record and computerized patient management database.
  • Experience with HIPAA guidelines and privacy standards.
  • Computer proficiency with MS Office applications.
  • Experience using scanners and scanning software.
  • Excellent organizational and interpersonal skills.
  • Knowledge of dental and radiography terminology.
  • Demonstrated excellence in customer service.
  • Demonstrated excellent attendance and punctuality.
  • Excellent attention to detail.
  • Ability to prioritize work and be flexible in performance of work duties.
  • Excellent verbal and written communication skills required.
