Responsibilities*

Clinic Operations Management

  • Serve as central contact person to staff, residents and faculty for clinic needs.
  • Oversee day-to-day operations of the clinic (daily review of schedules, productivity, quality, customer service, and patient flow).
  • Facilitate coverage for faculty absences to ensure the clinic is covered during patient care.
  • Communicate and ensure adherence to the clinic's values, policies and procedures; participate in their development; update and maintain existing policies and procedures as needed.
  • Work closely with dental providers and specialists to provide comprehensive dental care to patients.
  • Provide ongoing feedback to the clinic director and the department administrator, by developing and analyzing various reports to determine clinic goals, collections and patient flow.
  • Supervise, train and direct the work of all clinic staff.
  • Provide backup support for staff as needed
  • Manage clinic inventory and supply ordering
  • Work with department administrator who oversees the clinic budget
  • Supervise the following operational activities:
    • Provide orientation for incoming graduate students.
    • Assist graduate students with clinic management activities.
    • Responsible for: electronic health record training and use
    • Address patient concerns/disputes; clinic protocol review and compliance; infection control compliance; clinical record keeping and necessary forms; and daily assignment of dental assistants to each dentist; ensure providers have up-to-date credentials and valid clinic privileges
    • Maintain clinic policies and procedures for patient treatment.

Staff Management

  • Respond to and support staffing both administratively and clinically as needed and provide training as needed.
  • Collaborate with, train and manage lead Dental Assistant who assists in handling clinic operations and staff management and communication
  • Prepare required paperwork relative to human resource management, including but not limited to screening, interview, and selection of candidates.
  • Identify staffing needs and supervise patient service representatives and dental assistants and ensure adequate staffing
  • Create and monitor work plans for staff; ensure the people under supervision understand their responsibilities; work with staff to create goals and identify professional development opportunities; coach the staff.
  • Provide and track feedback about staff performance and efficiency in a timely manner to deliver annual performance review /promotions.
  • Conflict Management:
    Handle employee grievances/complaints and take disciplinary action when necessary (following progressive discipline policy and proper documentation).

Patient Care

  • Obtain, verify, and update insurance, financial, statistical, and demographic information with the patient.
  • Responsible for overseeing and managing the patient referral system with internal and external referrals regarding dental student providers.
  • Facilitate and distribute cases for root canal patients to the D4 dental student providers of 120+ based on availability to ensure their graduation requirements are met for Endodontics.

Communication

  • Manage patient concerns or complaints regarding treatment or financial concerns within the clinic via face-to-face or phone; document and file appropriate paperwork accordingly.
  • Collaborate with dental student providers, graduate students, faculty, and staff to identify, coordinate and facilitate the appropriate resources needed prior to patient appointments.
  • Communicate with referred patients via phone regarding the process of becoming a patient within the school and the process of the root canal.
  • Oversee the auditing and communication of the status of student completions for graduation (by working with the predoc administrator).
