Job Summary

Responsibilities*
  • Welcome and check patients in for the Graduate Orthodontics and Faculty Practice clinics.
  • Manage phone calls by triaging calls, retrieving messages, calling patients to address concerns and scheduling appointments.
  • Maintain accurate patient records and documentation, ensuring compliance with confidentiality and privacy regulations (HIPAA).
  • Determine existence of previous registration if applicable and verify and update insurance information for existing patients of record.
  • Accurately verify patient information, including demographic details, medical history, and insurance coverage.
  • Scan patient paperwork, insurance cards,  EPIC.
  • Secure patients signature on FAs if applicable
  • Manage daily work queues.
  • Check patients out
  • Collect payments, co-pays and past due balances at patient check in/out using the established department/school guidelines.
  • Reconcile daily cash and credit card patients
  • Enter Codes into the eHR system for patient financial liability
  • Maintain and review schedule daily to ensure patient balances are collected at the start of the appointment
  • Display excellent customer service and attitude towards patients, students/residents, faculty and staff.
Required Qualifications *
  • High school diploma or equivalent combination of education and experience is required with some college preferred.
  • Considerable clerical experience is necessary.
  • Exceptional interpersonal skills and the ability to deal with an extremely busy and hectic clinic environment.
  • Knowledge of Word, Excel and Dropbox.
  • Knowledge of dental insurance plans.
  • Welcoming personality.
  • Ability to work in a team environment.
  • Ability to multi-task in a busy clinical environment.
  • Excellent attendance record.
Desired Qualifications*
  • Experience in an outpatient clinic setting.
  • Knowledge of dental terminology.
  • Knowledge of EPIC.
  • Familiarity with the Dental School.
Modes of Work

Additional Information

We are committed to maintaining a safe and healthy work environment for everyone. As part of the onboarding process, all candidates are required to submit their immunization records to Occupational Health Services (OHS) prior to their appointment start date to verify their immunization status. The process includes completing a two-step TB test for all new hires and providing proof of Hepatitis B immunization for clinic-facing roles.

Additional immunizations may be necessary based on public health guidance or specific job responsibilities.
