Administrative Support (20% effort)
- Calendaring and meeting coordination
- Correspondence
- Schedule faculty exit interviews
- Reconciling expenses through Shared Services
- Coordinate bi‑annual (winter/spring) faculty promotion review meetings
- Coordinate, plan and facilitate junior faculty development activities, including faculty mentoring and promotions (may also involve ordering, set‑up and clean‑up of catered lunches/refreshments)
- Facilitate faculty recognition events/activities (e.g., annual promotion recognitions)
- Special projects as assigned
- Under the guidance of the Path Academic HR Manager and senior team members, assist with onboarding of the annual incoming rotation of clinical instructors
- Assist with off‑boarding of current year clinical instructors who do not receive advanced faculty appointments
- Coordinate onboarding activities of all new incoming faculty hires, including but not limited to:
- Facilitate/create the new faculty member’s department onboarding/first‑day itinerary
- Secure system access, including soft signatures
- Procure lab jackets and onboarding materials
- Facilitate access to paging system
- Coordinate professional photos
- Enroll faculty in the Med School Orientation/Kick‑Start program
- Coordinate off‑boarding activities for faculty at time of termination by initiating the appropriate off‑boarding notification form and following the faculty off‑boarding checklist
- Facilitate reimbursement of faculty moving/relocation expenses through SSC
- Facilitate annual faculty effort reporting follow‑up as needed
- Facilitate process for supporting faculty‑sponsored visiting observers
- Provide back‑up coverage for Cornerstone inquiries, re‑appointments/ re‑credentialing
- Appointments
- Assist with creating CVs in Word documents in Med School format
- After onboarding, create initial template for new faculty in Elements and provide an overview for updating in Elements and a follow‑up schedule (2 months, 6 months, 1 year, and every 6 months thereafter)
- Promotions
- Conduct initial review of all proposed promotion candidates in early spring and prepare CVs for outgoing solicitation packages for May/June; work with all candidates throughout the promotion cycle up to package submission (October 1st) and subsequent edits/revisions until all packages are forwarded to main campus
- Current Faculty
- Upon notification of faculty with upcoming 3‑year track dean reviews, overview CVs in Elements prior to those meetings
- Act as subject‑matter expert for all department faculty as needed
- Act as a resource for all department administrative support staff as needed
- Other duties as assigned by Academic HR Manager
- High school diploma or equivalent
- 4+ years of experience in an administrative support capacity
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with additional platforms such as Google Workspace, databases, and calendar management systems
- Excellent verbal, written and interpersonal skills, including the use of closed‑loop communication to ensure accuracy and clarify
- Proven ability to produce high‑quality, error‑free correspondence and documentation
- Exercises considerable discretion and independent judgment within scope of projects
- Strong interpersonal skills and ability to successfully work with all levels of faculty and staff
- Must possess demonstrated ability to take initiative, work independently, prioritize, manage multiple assignments, and follow through on job responsibilities
- Demonstrates ability to collaborate with others in a team environment, display developing leadership through problem solving and the initiative to advance knowledge
- Team oriented individual
- Ability to exercise a high level of initiative, discretion and judgment regarding sensitive and confidential matters
- Demonstrated ability to act in a professional manner at all times
- Associate or bachelor’s degree or equivalent combination of administrative experience
- Experience working in an academic setting
- Working knowledge of university faculty tracks and titles
- Reasonable knowledge of university policies and procedures
- Working knowledge of Elements, Wolverine Access
- Demonstrated ability to work effectively with individuals and groups from a variety of identities, culture, backgrounds, ideologies, including personal and social identities
