Curriculum Coordinator (Student Administrative Assistant Senior)

The Department of Psychology in the College of Literature, Science, and the Arts (LSA), is looking for a Curriculum Coordinator (Student Administrative Assistant Senior) who is passionate about academic programming. This position supports the department's educational mission by producing term by term course offerings that meet the needs of undergraduate and graduate students. The curriculum and enrollment management functions are among the most complex in LSA, requiring deep expertise, sound judgment, and significant collaboration.

The ideal candidate exhibits a consistently positive, proactive, solution-oriented mindset and discretion with confidential information.

The Curriculum Coordinator will report to the Undergraduate Program Manager.

Responsibilities*

Curriculum Maintenance 70%

  • Oversee academic year course planning. Collaborate with Department Chair, Associate Chairs, Program Area Chairs, Director of Student Services, and Undergraduate Program Manager to make teaching assignments.
  • Update MPathways with curriculum plans for all terms:
    Fall, Winter, Spring, Spring/Summer, and Summer.
  • Project enrollment demand for seats by program requirement.
  • Communicate with faculty regarding matters of enrollment and the details of course scheduling;
    Collect faculty teaching preferences and create a schedule of courses by term.
  • Collaborate with external departments to schedule jointly offered courses.
  • Update course listings in LSA Course Guide.
  • Assign lab fees.
  • Schedule wet labs.
  • Manage 5-year faculty teaching plan documents for each of the 6 program areas.
  • Verify tenure track faculty are meeting their annual teaching obligation;
    Manage joint-faculty teaching obligations and teaching plans.
  • Maintain lecture teaching history and projected teaching schedules.
  • Manage wait lists.
  • Issue registration overrides.
  • Assist with CARFs and PARFs.
  • Receive and process independent study forms/requests.
  • Collect and upload syllabi each semester to maintain historical records.
  • Process meet-together and cross list course requests.
  • Create and oversee advertising plans for low enrolled courses.

Exam and Proctor Coordinating 20%

  • Schedule make up exams, specialized exam reservations due to student accommodations, midterms, and final exams.
  • Stay current on policies from Student Accessibility and Accommodation Services and Testing Accommodation Center to effectively plan, schedule, and administer student accommodation exams.
  • Hire exam proctors for 70+ exams per term; process proctor payments.
  • Coordinate final and midterm exam scheduling with the Registrar's Office.

Other 10%

  • Assist with planning, organizing, and implementing a variety of student events including recruitment activities, new student orientation, graduate student professional development and social events, department commencement, and other events in support of the graduate and undergraduate programs.
  • Stay current on room scheduling, registration, and faculty teaching policies as required by the Provost and Dean's Office.
  • Work with the Undergraduate Program Manager to develop a variety of ad hoc reports on enrollment patterns, course demand, and other data related to curriculum.
  • Provide annual teaching reports for Rackham and LSA.
  • In collaboration with the Undergraduate Program Manager, identify and participate in learning and professional development seminars that address skills needed in this position and in preparation for future opportunities.
  • Attend LUGS, Rackham, and LSA Graduate Coordinators Forum meetings as appropriate.
  • Seek service opportunities on departmental, college, and university committees as appropriate.
  • Other duties as assigned.
Required Qualifications *
  • Associate degree or equivalent education and experience and more than three years related experience in coordinating programs and/or events in an academic setting.
  • High level of proficiency with spreadsheets and database software applications;
    Strong computing skills including knowledge of Microsoft Office suite and Google apps, online research skills and general comfort with web based systems.
  • Demonstrated ability to take initiative, think creatively and problem solving.
  • Ability to work independently and as part of a team that values openness, positivity and hard work.
  • Demonstrated ability to manage and organize a variety of work duties simultaneously under timelines and within a fast paced environment.
  • Enthusiasm and energy for working on behalf of students and their career interests.
  • High level of professionalism, and demonstrated excellent customer service working with a diverse range of stakeholders.
  • Strong organizational skills and attention to detail.
  • Strong communication skills including verbal, writing and listening skills.
  • Contribute to a diverse environment of colleagues and students representing diverse populations.
