Position Summary

As a Permit Agent, you support infrastructure and energy projects by coordinating with local, state, and federal agencies to secure permits and approvals required for construction, operation, and maintenance of new and existing facilities.

You will manage the permitting workflow end to end, including application preparation, documentation review, agency coordination, and status tracking. The ideal candidate brings permitting experience in right of way, land, or real estate, communicates clearly with multiple stakeholders, and consistently delivers accurate, on time submissions with minimal supervision.

Key Responsibilities

Permitting Coordination and Agency Management

  • Coordinate with governmental agencies to obtain necessary permits and approvals for infrastructure projects.
  • Build and maintain professional working relationships with agency contacts to support efficient reviews and timely approvals.
  • Monitor jurisdiction specific requirements and timelines, and ensure submissions align with local standards.

Compliance, Policy Review, and Risk Awareness

  • Review and interpret zoning ordinances, land division regulations, and jurisdictional policies impacting real estate and right of way activities.
  • Identify compliance risks early, flag missing requirements, and elevate issues to project leadership when needed.
  • Ensure permitting activities align with company standards, client expectations, and regulatory requirements.

Application Preparation, Documentation, and Tracking

  • Prepare, process, and track permit applications, certificates of insurance, and performance bonds.
  • Coordinate bonding and insurance documentation as required by agencies or clients.
  • Maintain accurate, organized documentation and databases for all active permits, submissions, and approvals.

Communication and Cross Functional Collaboration

  • Communicate and collaborate with project managers, engineers, attorneys, and landowners to resolve permitting or compliance issues.
  • Draft, review, and send correspondence to agencies and stakeholders with professionalism and clarity.
  • Provide timely updates on permit status, outstanding actions, and next steps to keep project teams aligned.

Tools, Systems, and Workflow Discipline

  • Utilize client or company provided systems, templates, and workflows to track progress and meet deadlines.
  • Maintain clean digital files that are audit ready, with clear version control, references, and supporting documentation.

What Success Looks Like

While every project is different, success in this role generally follows a progression.

Within 30 Days

  • Fully onboarded to Halo systems, permitting templates, and project workflows.
  • Understands how projects flow from planning to construction and where permitting fits into execution.
  • Begins supporting permit tracking and basic submissions with guidance and incorporates feedback quickly.
  • Communicates clearly using Halo tools and understands when to elevate questions or risks.

Within 90 Days

  • Independently manages multiple permit workflows with minimal oversight.
  • Produces accurate, complete submissions that reduce back and forth with agencies.
  • Builds productive relationships with agency contacts and understands jurisdiction specific expectations.
  • Provides consistent status updates and keeps internal stakeholders informed of deadlines and blockers.

Within 6 to 12 Months

  • Operates with high independence across multiple jurisdictions, agencies, and project types.
  • Anticipates permit risks and proactively prevents delays through early coordination and clean documentation.
