Job DescriptionThe Golf Administrative Assistant provides administrative support for the sales and support activities of Golf and Spa Sales Managers, including Group Golf Packages, Resort Conference Groups, Outside Golf Groups, and Group Spa Packages.
Essential Duties and Responsibilities- Compose reports on a weekly, monthly, and annual basis.
- Handle daily correspondence, including contracts, resumes, and letters.
- Ensure all correspondence and reports are completed in a timely manner to meet deadlines.
- Work flexible hours and take on additional responsibilities as requested.
- Enter group information and notes into Delphi.
- Create and maintain databases.
- Prepare welcome packets for groups, including welcome letters, bag tags, breakfast tickets, gift cards, and spa itineraries.
- Assist with special projects, such as working at the proshop desk, managing golf show travel, attending client events, and supporting other departments like housekeeping or banquets.
- Audit each group to ensure smooth check‑in and check‑out.
- Assist with dinner reservations, banquet events, group transportation, beverage cart needs, and any additional non‑golf or spa needs.
- Take registration calls for golf outings, process deposit information, and charge appropriate credit cards.
- Perform opening, golf simulator maintenance, reception, and closing duties at the Golf Academy.
- Attend meetings as needed.
- Prepare travel needs and accommodations, route expense reports, and coordinate travel.
- Undertake all other reasonable assignments given by the Director of Golf Operations or Golf and Spa Sales Managers.
- Follow proper grooming and dress standards set forth by the Employee Handbook.
- Understand and abide by environmental practices of the Resort.
Must have a High School Diploma or GED and be proficient in Microsoft software products. Preferred to have two years of experience at an administrative level.

Able to read, analyze, and interpret common financial reports and internal documents; respond to inquiries or complaints from customers, regulatory agencies, or members of the business community; present information to top management, public groups, and/or boards of directors; perform basic arithmetic and apply mathematical concepts such as probability, statistics, fractions, percentages, ratios, and proportions to practical situations.
CommentsNative American Preference will apply. Must be able to pass a background investigation and a drug/alcohol urinalysis as a condition of employment. Must adhere to company policies regarding strict confidentiality. The position may require flexible hours and additional responsibilities as requested. The employee will also perform other reasonable related job responsibilities as assigned by management to meet current departmental or business needs.
