We are seeking a highly organized Events Administrator to support our event operations and project management team.
Position Overview The Events Administrator plays an important role in supporting the planning and execution of conferences and events s position provides administrative and operational support to project managers and leadership, including organizing vendor documentation and project materials. This role is ideal for someone who enjoys working behind the scenes to help organize and coordinate details so that our large events run smoothly.
Key Responsibilities:
Administrative Support including calendar management, Quickbooks data entry, helps create client proposals and prepares final invoices for our events. Document Management including preparing meeting agendas, writing meeting notes, distributing project updates to and for the team, as well as organizing and maintaining digital files for event documentation. Event Coordination Support including assisting with the maintenance of event timelines and task lists, supporting project managers with tracking deliverables and deadlines, and assisting in the preparation of proposals, presentations, and project reports.
Vendor & Venue Coordination including communicating with venues and event vendors regarding logistics and documentation, tracking insurance certificates, and maintaining vendor contact lists. Financial & Documentation Support including assisting with tracking project expenses. Qualifications
• 2–4 years of administrative, event, or operations experience
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Ability to manage multiple projects simultaneously
• Proficiency in Microsoft Office and Quickbooks
Preferred Experience
• Event planning or conference coordination
• Hospitality or convention services
• Vendor management or contract administration
• Experience with project management tools such as Smartsheets or Excel
