Senior Operations Coordinator

Description

We are seeking an experienced and highly organized Senior Air Freight Operations Coordinator to oversee the day-to-day coordination of air freight shipments from origin through final delivery. This position will serve as a key point of contact between customers, carriers, overseas agents, customs brokers, warehouses, and internal teams to ensure shipments move efficiently, accurately, and on schedule. The ideal candidate has strong knowledge of international air freight operations, excellent attention to detail, and the ability to proactively identify and resolve issues in a fast-paced environment. The Senior Air Freight Operations Coordinator will take ownership of complex shipments and provide guidance and support to less experienced team members.

Key Responsibilities

+ Coordinate and manage international air freight shipments from booking through final delivery

+ Arrange airline bookings, pickups, deliveries, warehouse transfers, and other transportation requirements

+ Communicate with customers, airlines, freight forwarders, overseas agents, customs brokers, and other service providers

+ Prepare, review, and maintain shipping documentation, including commercial invoices, air waybills, packing lists, and export documentation

+ Monitor shipment status and proactively communicate delays, changes, or potential issues to customers and internal stakeholders

+ Track shipments throughout the transportation process and ensure milestones are met

+ Coordinate with customs brokers and ensure shipments have the appropriate documentation for customs clearance

+ Review shipment details for accuracy, including weights, dimensions, pieces, routing, rates, and required documentation

+ Resolve operational issues, including delays, missed connections, documentation discrepancies, damaged freight, and delivery exceptions

+ Obtain and negotiate freight rates and coordinate with carriers and service providers as needed

+ Enter and maintain accurate shipment information within internal transportation or freight management systems

+ Review and approve operational documentation, invoices, and freight charges for accuracy

+ Coordinate with warehouse personnel regarding cargo receipt, handling, staging, and release

+ Ensure shipments are handled in accordance with company procedures, customer requirements, and applicable regulations

+ Maintain strong relationships with customers, vendors, carriers, and international partners

+ Assist with identifying opportunities to improve operational efficiency, service levels, and cost control

+ Provide support, guidance, and training to junior operations staff

+ Assist management with reporting, shipment analysis, and other operational projects as needed

+ Requirements

Qualifications

+ 5+ years of experience in air freight, international logistics, freight forwarding, or a related field

+ Strong understanding of international air freight operations and transportation processes

+ Experience coordinating international shipments from booking through delivery

+ Knowledge of air waybills, export documentation, customs processes, and international shipping requirements

+ Strong communication and customer service skills

+ Excellent organizational skills and attention to detail

+ Ability to manage multiple shipments and priorities simultaneously

+ Strong problem-solving and decision-making abilities

+ Proficiency with Microsoft Office, particularly Outlook and Excel

+

Experience with transportation management, freight forwarding, or logistics software preferred

+ Ability to work effectively in a fast-paced, deadline-driven environment

Preferred Qualifications

+ Experience working with international airlines and freight forwarding networks

+ Knowledge of IATA regulations and international air cargo requirements

+

Experience with import/export compliance

+ Experience handling time-sensitive, high-value, or specialized cargo

+ Previous experience mentoring or training operations personnel

+ Strong knowledge of international trade terminology and shipping documentation
