Main duties and responsibilities

  • Answer the phone in a timely manner and direct calls to the correct offices
  • Approve visitor requests and print safety pamphlets
  • Greet visitors upon arrival and connect them with the appropriate party
  • Operate remote security gate
  • Add/remove contractors in Hik Vision system
  • Add/remove contractors in KSoft time keeping system
  • Travel arrangements
  • Order meals/catering for meetings and events
  • Arrange furnishing for company properties (apartments, houses, etc.)
  • Inspect company properties and schedule any repairs and cleanings
  • Oversee company cars assigned to HR
  • Order uniforms and review invoices from uniform company
  • Order service awards
  • Take new hire pictures and upload to Hik Vision system
  • Print and send badge numbers to be added in Fastenal
  • Collect direct orders through Unifirst
  • Create new hire check list
  • Assist HR with any additional daily duties
  • Update organizational charts monthly or as needed
  • Upload terminated employee files into Docu Ware
  • Send new hire report with pictures
  • Create and maintain documents as needed
  • Create reports as necessary or as directed
Requirements
  • 1+ years as a receptionist or other customer service field
  • Extensive knowledge of all Microsoft Office products including Word, Excel, and Power Point
  • Strong interpersonal skills
  • Strong written and verbal communication skills
  • Strong editing skills (grammar, word usage, and spelling)
  • Strong customer service skills and professional phone presence
  • Neat and professional in appearance
  • Ability to create and maintain an organized filing system
  • Typing speed of 60 WPM or better
  • Ability to operate a multi-line phone system
