Human Resources Specialist - Leave of Absences - Class 4 - Insurance Department
Full-Time 260 days/8 hrs/day
The HR Specialist Leave of Absence serves as the primary district contact for employees, administrators, and external partners regarding workers' compensation claims and employee leave programs. This role coordinates claims, leave administration, return-to-work processes, and regulatory compliance while ensuring accurate documentation, reporting, and communication across departments.
Essential Duties And Responsibilities- Serve as the primary liaison between the district and the workers' compensation insurance carrier, medical providers, and other external partners
- Act as the main point of contact for employees regarding work-related injuries, medical status, return-to-work processes, and applicable leave options
- Provide comprehensive guidance to employees and administrators on workers' compensation, FMLA, and other applicable leave policies, procedures, and state and federal regulations
- Track, review, and follow up on medical and workability reports to support claim management, leave determinations, and return-to-work planning
- Coordinate with district sites and departments to evaluate and confirm the availability of reasonable accommodations and modified duty assignments
- Collaborate with the Payroll Department to ensure accurate reporting of payroll-related information, including wages, leave usage, and benefit coordination
- Facilitate and coordinate various types of leaves, including educational, emergency, military, TRA extended, sabbatical, and other leaves in accordance with state and federal law
- Maintain accurate, confidential records related to claims, medical documentation, accommodations, and employee leave status
- Prepare and distribute monthly workers' compensation and leave activity reports for district sites and leadership
- Assist with annual OSHA reporting preparation and submission of required reports each February
- High school diploma or equivalent required; post-secondary coursework in Human Resources Management or a related field preferred
- Proven experience in a Human Resources or related administrative role with a strong understanding of HR principles and best practices
- Knowledge of applicable state and federal laws, including Family and Medical Leave Act (FMLA), Safe and Sick Time, state workers' compensation laws, and the Americans with Disabilities Act (ADA)
- Excellent communication and interpersonal skills, with the ability to build rapport with employees, administrators, medical providers, and external partners
- Demonstrated ability to multitask, manage competing priorities, and handle confidential information with discretion
- Strong attention to detail and organizational skills
- Proficiency with standard office equipment and productivity software, databases, and customized HR systems or applications
$28.58/ hr to $36.86/ hr DOE. HR Specialists who have or obtain an Associate of Arts/Science degree or an equivalent number of credits applicable towards a bachelor's degree (60 semester or 90 quarter credits) will receive an additional $1.00 per hour. HR Specialist who have or obtain a bachelor's degree will receive an additional $1.50 per hour. There will be no stacking of Certificates and Degrees.
