The Analyst, Instructional Materials Inventory is responsible for ensuring the accurate tracking, timely distribution, and efficient management of instructional materials across the district. This role supports a high-volume, year-round delivery system driven by consumable materials and increased inventory complexity, ensuring campuses receive the right materials at the right time to support uninterrupted instruction. The Analyst maintains real-time inventory accuracy, monitors usage and replenishment needs, and coordinates closely with campuses, vendors, and Curriculum & Instruction staff to resolve discrepancies and respond to campus needs with urgency and precision.
The role contributes to a reliable, responsive warehouse operation by supporting data systems, inventory processes, and continuous improvement of materials management practices.
- Maintains accurate, real-time inventory records for instructional materials using district inventory and warehouse management systems, ensuring data integrity and reliability across all materials.
- Monitors inventory levels, usage trends, and reorder thresholds to proactively support timely replenishment and prevent shortages that impact instruction.
- Tracks quantities purchased, received, distributed, and on-hand to ensure full visibility and accountability of inventory across the warehouse system.
- Supports the coordination and prioritization of material distribution to campuses, ensuring timely fulfillment aligned to instructional needs and delivery schedules.
- Collaborates with campuses, vendors, and Curriculum & Instruction staff to resolve inventory discrepancies, order issues, and delivery concerns with urgency and accuracy.
- Communicates clearly and consistently with campuses regarding order status, delivery timelines, and processes for managing surplus or out-of-adoption materials.
- Serves as a primary point of contact for inventory-related questions, providing responsive and solution-oriented support to campus staff.
- Partners with Curriculum & Instruction teams to ensure accurate ordering, alignment of materials to grade levels and content, and resolution of material needs across campuses.
- Supports the training of campus textbook coordinators on inventory processes, systems, and expectations to ensure consistent implementation district wide.
- Maintains documentation, records, and data systems in accordance with district requirements, ensuring all records are accurate, complete, and audit-ready.
- Prepares reports, correspondence, and data summaries related to inventory levels, usage, distribution, and discrepancies.
- Supports physical inventory counts, cycle counts, and reconciliation processes to ensure alignment between system records and actual inventory.
- Assists with receiving, counting, staging, sorting, and reconciling incoming and outgoing materials, supporting efficient warehouse operations.
- Demonstrates flexibility in scheduling and availability, including extended or adjusted work hours during peak delivery periods, large-scale distributions, inventory cycles, and urgent campus needs, to ensure timely, accurate, and responsive service.
