US Tech Force is seeking a highly organized and detail-oriented Accounts Payable Coordinator to support financial operations and internal office functions. This role is responsible for managing accounts payable, overseeing trade promotion analysis, supporting month-end bookkeeping, and providing backup administrative support in a fast-paced office environment where accuracy and confidentiality are critical.
Accounts Payable Job Responsibilities- Manage full-cycle Accounts Payable including matching POs, BOLs, and invoices; verifying pricing and terms; entering invoices; and maintaining accurate records
- Generate and distribute weekly AP checks and maintain organized financial documentation
- Monitor purchase order delivery timelines and follow up on discrepancies or missing paperwork
- Assist with annual audit preparation and tax documentation
- Support month-end close including journal entries, accruals, reconciliations, and general ledger review
- Manage Trade Promotion and Trade Analysis processes including reconciliation of trade spend, deduction verification, promotional tracking, and reporting insights to leadership
- Identify financial discrepancies, trends, and variances and communicate findings proactively
- Create and distribute monthly sales and financial reports
- Provide backup support for office operations including customer calls, order entry, reporting, and payroll assistance
- Support leadership with special projects and additional administrative duties as assigned
- Strong proficiency in Microsoft Excel, Word, PowerPoint, and email systems
- Experience with accounting systems (Sage Business Works preferred)
- Working knowledge of Accounts Payable and general bookkeeping practices
- Strong analytical skills with attention to detail and accuracy
- Excellent communication and organizational skills
- Ability to prioritize, multi-task, and adapt in a fast-paced environment
- High level of professionalism, discretion, and confidentiality
- Self-motivated with the ability to work independently and collaboratively within a small team
