Admin Support Specialist – Clerk's Office

City of Appleton, Wisconsin

Responsibilities
  • Perform licensing processes for over 20 types of City licenses/perm Bindable, including initial application, fee calculation, photo capture, and processing. Forward materials to approving departments.
  • Maintain license database records, track and produce license documents, and handle cash receipt transactions with daily posting and balancing.
  • Develop and coordinate the Safety and Licensing Committee agenda within Legistar; collaborate with the Committee Chairperson, City Clerk, City Attorney's Office, and Police & Fire Departments.
  • Serve as Clerk Department’s primary telephone customer‑service representative; act as the Information Center for all City inquiries and route calls to appropriate individuals.
  • Manage walk‑in service on the sixth‑floor, process internal and external mail, coordinate bulk mailings, and maintain necessary supplies.
  • Operate and maintain mail/copy center equipment (mail meter, postage machine, photocopy and folding machines, UPS manifest system, , etc.), ensuring compliance with the Mail/Copy Services Manual.
  • Schedule and prioritize copy jobs for City departments, notify completion via email, support special events applications, invoice finalization, and attend Special Events Committee meetings.
  • Coordinate UPS services, weighing, printing invoices, and package distribution to/from the City; ensure timely delivery and compliance.
  • Prepare the monthly calendar of meetings, coordinate room reservations, and maintain attendance records; provide overtime and extra hours as required.
  • Assist with election duties in the WISVOTE database: register voters, maintain voter records, process absentee ballots, and maintain confidentiality.
  • Compile data for performance measures and budgeting purposes,棒, maintain bidder’s responsibility lists, compose and type correspondence (including certified mail), and compile reporting data.
  • Coordinate, schedule, and issue City employee s; produce agendas, reports, and minutes of all meetings.
  • Just the support, training temporary help, and assisting with special projects as requested; maintain inventory for lab supplies and equipment.
  • Notify the public of special office hours and elections.
Other Job Functions
  • Coordinate maintenance(accnolage of equipment located in the mail/copy center.
  • Order and coordinate inventories and purchases of copy paper, કરે, supplies for all equipment and office.
  • Provide backup for other clerical staff and train temporary help.
  • Assist with special projects as requested.
Qualifications
  • Minimum three years of general clerical experience.
  • High‑school diploma and at least one year of college, business, or technical training (or an equivalent combination of experience and training).
  • Training in typing, computer use, office practices, and clerical subjects.
