Michael Best is seeking a Business Intake & Records Coordinator to support the Legal Operations team by performing administrative and coordination functions related to lateral client intake, attorney departures, client transfers, and related records. This role helps ensure continuity, accuracy, and compliance throughout the client lifecycle and works closely with attorneys, practice management, finance, billing, and records teams.
Key Responsibilities- Support lateral client intake, including documentation, system setup, approvals, and tracking.
- Manage the team inbox and assist with routing requests.
- Create reports, draft transfer and engagement letters, and send Docu Sign as needed.
- Open client and matter records in firm systems.
- Maintain intake and transition trackers.
- Ensure intake and transition records are complete, organized, and audit-ready.
- Prepare electronic files for attorney and/or client transfer by reviewing contents and creating secure sharing links.
- Assist with records maintenance in Aderant.
- Identify process improvement opportunities and assist with documentation and training materials.
- Strong attention to detail and ability to manage multiple time‑sensitive tasks.
- Excellent organizational, written, and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency in Microsoft Office (Excel, Word, Outlook); comfort working in legal and billing systems.
- Strong customer service orientation when working with attorneys and internal stakeholders.
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Prior experience in a law firm, legal operations, intake, records, or administrative role preferred.
- Experience supporting process‑driven workflows and cross‑functional coordination is a plus.
