Office Assistant Lead

Community Corrections Division – Tacoma, WA 10,109 South Tacoma Way, Tacoma, WA 98499 Non‑permanent appointment, expected 6–12 months.

Working hours:

8:00 am to 5:00 pm, Monday–Friday. Reports to the Administrative Assistant 3 (AA3).

Responsibilities
  • Review court orders and enter and retrieve data from the Offender Management Network Information (OMNI) system.
  • Manage files, including setup, closing, and archiving.
  • Oversee the front counter/lobby reception area: greet supervised individuals and the public, answer questions, and direct them to the supervising Community Corrections Officer.
  • Develop and prepare a variety of reports.
  • Answer a multi‑line telephone system.
  • Maintain office supply inventory.
  • Provide back‑up support for the AA3, Office Assistant 3s (OA3), and other duties as assigned.
Required Qualifications
  • High school diploma or GED equivalent.
  • Two years of clerical experience that required keyboarding or typing.
Desired Qualifications
  • Two years of clerical experience that includes directing the work of others.
  • Experience working with databases.
  • Experience using Microsoft Office programs (Word, Excel, Outlook, etc.).
Skills & Abilities
  • Maintain regular and reliable attendance.
  • Respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Proofread written material and correct errors in sentence structure, grammar, and punctuation.
  • Communicate effectively and clearly to staff, supervised individuals, public, and stakeholders.
