Responsibilities
  • Perform administrative work for the CEO, including organizing, scheduling, coordinating, researching, compiling, exchanging and sometimes analyzing information.
  • Assist supervisors (department heads, managers, and other employees) with information exchange, problem resolution and requests.
  • Participate in administrative staff meetings and other meetings and seminars.
  • Participate in recruitment efforts for exempt and non‑exempt personnel (excluding managerial levels), and coordinate the use of temporary employees.
  • Maintain company organization charts and employee directory.
  • Provide direct services such as maintenance, repair, replenishing supplies, and mail file handling.
  • Compose and write routine correspondence; maintain up‑to‑date files.
  • Act as recording secretary for staff and committee meetings; prepare and distribute minutes.
  • Provide administrative support by entering, formatting, and printing information; organize work; answer telephone; relay messages.
  • Provide clerical, secretarial and administrative support as required to the CEO.
  • Coordinate meetings, conferences and travel arrangements for all members of the company.
  • Document corporate credit card expenses.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Act as a project lead for special projects at the request of the President, including planning and organizing company functions, multiple presentations, disseminating information, and coordinating direct mailings.
  • Perform other miscellaneous duties as needed or assigned.
Qualifications
  • 4–5 years of administrative, office administration, or secretarial experience.
  • Associate’s degree (preferred).
  • Advanced computer skills; proficiency in Word, Excel, Outlook, and PowerPoint.
  • Outstanding communication and interpersonal skills.
  • Ability to handle data with confidentiality.
  • Ability to prioritize conflicting demands to accommodate rapidly changing priorities.
  • Ability to work as part of a team and accept various work styles.
  • Ability to respond to common inquiries or complaints from management or staff.
  • Self‑motivated and capable of working independently.
  • Excellent attention to detail, organizational, and time‑management skills.
  • Multitasking capability to handle rapidly changing priorities.
  • Excellent attendance record.

Compensation

Estimated annual salary range: $50,000–$65,000, with eligibility to earn an annual bonus.
