Senior Court Assistant
Washington County, West Bend, Wisconsin – Full‑time position in the Clerk of Courts Department responsible for overseeing the Probate division pursuant to Wisconsin State Statutes.
Position SummaryUnder the general supervision of the Chief Deputy Clerk of Courts, assists the Clerk of Courts, the Register in Probate and the Clerk of Juvenile Court in discharging the duties of their offices by providing support services for the Circuit Court system.
Duties & Responsibilities- Greet customers, assess the purpose of the visit, direct to the appropriate department, date‑stamp and deputize documents, assist litigants with the public‑access computer, and provide general court assistance as required.
- Process incoming faxes and distribute to the judiciary and other staff.
- Analyze account information and accurately receive payments received by mail and in‑person, handle cash, and reconcile the deposit drawer.
- Maintain the records management system by entering assessment and other court data into the computer.
- Schedule court hearings, prepare court notices and orders for the court as required.
- Establish and maintain files for court proceedings.
- Clerk court proceedings as required.
- Prepare letters or documents of general, technical and confidential nature.
- Maintain accurate records and prepare reports when necessary.
- Perform other duties as assigned, including responding to emergency events.
- Receive, process and file a variety of court‑related and other legal documents; dispense information to the general public, other county departments and attorneys.
Knowledge of court practices and procedures, statutes, rules and regulations affecting the office, and general office practice. Ability to understand and effectively carry out oral and written instructions, draft accurate documents and reports, communicate effectively orally and in writing, and interact effectively with coworkers and the general public. Able to fulfill physical demands of the job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization).
Trainingand Experience
- High School Diploma or GED and a minimum of four years of prior office experience, or two years of post‑high‑school education and one year of experience preferably in a legal setting.
- Minimum two years of computer experience with knowledge of Microsoft Word and Excel; ability to type at least 50 words per minute.
