The Commercial Loan Post-Close Specialist / Servicer is responsible for post-closing review, servicing, and ongoing maintenance of commercial loan files to ensure complete, accurate, and compliant documentation in accordance with bank policy and applicable federal and state regulations.
This position also provides cross-functional support in pre-closing due diligence, documentation preparation, and loan closing coordination, serving as a backup to the Commercial Loan Documentation Specialist, as needed.
Post-Closing Review & Loan Servicing (Primary Focus)- Perform comprehensive post-closing reviews to ensure all required loan documentation is complete, accurate, and properly executed.
- Track, follow up, and resolve missing, incorrect, or incomplete loan documentation with attorneys, title companies, lenders, and participation partners.
- Ensure timely receipt and filing of final title policies, recorded documents, and insurance certificates.
- Maintain and manage tickler systems for financial reporting, insurance, covenant compliance, and other ongoing loan requirements.
- Monitor and clear post-closing exceptions in accordance with internal timelines and policy expectations.
- Assist in maintaining organized and examiner-ready commercial loan files (electronic and/or physical).
- Assist with documentation, tracking, and servicing requirements related to participation loans.
- Coordinate receipt and verification of required documentation from participation partners.
- Support setup and ongoing servicing of participation loans, including tracking "subject to" items and compliance requirements.
- Maintain and support loan operations systems, including tickler tracking, document imaging, and file maintenance.
- Assist with internal audits, loan reviews, and regulatory examinations by ensuring documentation is complete and accessible.
- Complete required compliance training and stay current on regulatory and policy changes impacting commercial lending.
- Perform additional duties as assigned to support loan operations and departmental objectives.
- Perform a comprehensive pre-closing audit of all assigned commercial loan packages to ensure the transaction aligns with the approved credit structure, terms, conditions, and collateral requirements.
- Assist with gathering and reviewing required due diligence items, including entity documentation, UCC searches, lien searches, appraisals, flood determinations, and title commitments.
- Support validation of borrower and guarantor entity status and structure.
- Review title commitments and identify items requiring resolution prior to closing.
- Assist in identifying and escalating documentation or structure-related issues to lenders or credit staff.
- Serve as backup to the Commercial Loan Documentation Specialist for document preparation and closing coordination.
- Prepare loan documentation packages for commercial loans using approved systems and templates.
- Coordinate loan closings with lenders, attorneys, title companies, and internal staff to ensure timely and accurate execution.
- Prepare engagement letters for attorneys and title companies when applicable.
- Support funding readiness by confirming all required conditions have been satisfied prior to disbursement.
