Assigned Organizational Unit:
Business Operations Team – Clinical Support.
This is a non-exempt, hourly position within the Clinical Support team of the Business Operations Department.
Responsibilities- Respond to client inquiries and maintain a professional, positive approach.
- Assist clinicians with office needs and maintain clinical files and documents according to professional standards.
- Assist with patient scheduling, confirm appointments, and troubleshoot office machinery.
- Maintain complete confidentiality of client and business office records.
- Completed general education requirements and/or some post-secondary courses.
- Strong writing and word-processing skills.
- Ability to work with limited oversight, manage multiple tasks, and function in both small and large work groups.
- Professional demeanor and ability to work in challenging situations.
- At least one year of office or customer-service experience and previous phone-reception experience.
- Familiarity with mental or medical health services is a plus.
Some clinical staff members are nurses or physicians (psychiatrists). Therefore, training as a medical assistant or experience in a medical office or hospital may be required for certain CSS positions, and is considered a plus.
Major Duties and Responsibilities- Create an inviting environment for clients by providing excellent, cheerful, ever-helpful service.
- Create a functional front-office environment for all SBH staff.
- Maintain client confidentiality.
- Receive incoming phone calls and distribute messages appropriately.
- Maintain fax machine, assist users, and retrieve and route incoming faxes.
- Update client contact and payer information in Procentive, the practice-management software.
- Maintain client schedules and confirm appointments in Procentive.
- Send out medical records requests.
- Audit new client charts and discharge client charts after completion of services.
- Replenish clinic forms in the blank-form drawer daily.
- Maintain the chart files.
- Assist psychiatrists with scheduling/appointment needs.
- Assemble new mental-health charts daily.
- Send out client statements and other mailings.
- Help maintain the postage meter and copiers.
- Pull client charts for assigned clinicians.
- Check payer eligibility in Procentive.
- Track office supplies.
- Collect client copays and update client paperwork.
- Other duties as assigned.
