Position Summary
The Patient Access Registrar performs admitting duties for patients admitted for services s role meets Theda Care’s mission, goals, regulatory compliance requirements, and operates within established policies and processes.
Responsibilities- Assign accurate MRNs and complete medical necessity/compliance checks.
- Provide proper patient instructions and collect insurance information.
- Receive and process physician orders and utilize overlay tools.
- Operate the telephone switchboard to relay incoming, outgoing, and inter‑office calls.
- Provide excellent customer service in accordance with Theda Care policies.
- Accountable for point‑of‑service goals as assigned.
- Utilize quality auditing and reporting systems to ensure accounts are accurate and complete.
- Conduct audits of accounts and ensure forms are complete, accurate, and timely.
- Perform pre‑registration of patient accounts prior to visits, including inbound and outbound calls to obtain demographics, insurance, and financial liabilities.
- Collect point‑of‑service collections, past‑due balances, and bad debt.
- Provide information to patients/representatives and create/process payment plans when appropriate.
- Explain general consent for treatment forms to patients, guarantors, or legal guardians and obtain necessary signatures.
- Explain and distribute patient education documents.
- Review eligibility responses in the insurance verification system and select the applicable insurance plan code.
- Enter benefit data to support point‑of‑service collections and billing processes, assisting with a clean claim rate.
- Screen medical necessity using Advanced Beneficiary Notice (ABN) software to inform Medicare patients of possible non‑payment of tests by Medicare.
- Distribute and document other forms and pamphlets.
- Perform other duties as assigned, including answering phones at other facilities.
- High school diploma or GED preferred.
- Minimum age 18 years.
Ability to move freely (standing, stooping, walking, bending, pushing, and pulling) and lift up to 50 pounds without assistance.
Work EnvironmentClimate‑controlled office setting with daily movement throughout the facility. Frequent phone communication with patients and staff. All inbound and outbound calls are recorded and monitored for quality assurance, training, and compliance purposes. The position requires compliance with department‑specific competencies.
ScheduleVariable schedule, one weekend per month, 2–3 holidays per year. On‑call duties may be required.
LocationTheda Care Regional Medical Center – Appleton, Wisconsin.
