At Facility Site Contractors, Inc., (FASCON), we are looking for an experienced Part-Time Financial Administrator to assist in the daily financial operations of a small business, ensuring accurate, timely, and compliant financial reporting. This role assists in core accounting functions, including accounts payable, accounts receivable, payroll, general ledger maintenance, and tax filings. The Administrator will assist in the month‑end closing process, provide financial insights to management, and identify opportunities to automate or improve accounting workflows.
This is an in‑office position.
- Bachelor’s degree in business, finance, or related experience.
- In‑depth knowledge of corporate financial law and risk management practices.
- Excellent knowledge of data analysis and forecasting methods.
- Strong knowledge of GAAP and small‑business accounting practices.
- Experience with accounting software and systems (e.g., Quick Books, Sage).
- Problem solving and strategic skills are a must.
- Strong leadership and organizational skills.
- Excellent communication and people skills.
- Experience with accounting for long‑term construction contracts.
- Experience with accounting for long‑term facility contracts.
- Perform financial forecasting with current and historical reporting.
- Work with Executive Leadership to establish budgets.
- Work with President/HR/Executive Administrative Officer on recordkeeping, taxes, insurance, audits to make sure every financial aspect of the business adheres to legal and industrial standards.
- Work with accounting firm and Executive Administrative Officer to develop monthly, quarterly and year‑end reporting.
- Support owners’ business ventures.
- Ensure compliance with the law and company’s policies.
- Ensure credit card management is in compliance.
- Work with Division VP on division budgets, financials for proposals and to create proposal numbers.
- Training in company‑utilized accounting software (Sage, Sage Paperless, and Quick Books).
- Review accounts payable and accounts receivable for accuracy.
- Maintain the general ledger and ensure accurate posting of transactions.
- Perform daily or weekly bank and account reconciliations to prevent month‑end bottlenecks.
- Ensure the month‑end close is completed within five (5) business days.
- Assist in the company’s financial records for each month, ensuring all transactions are properly recorded and reconciled.
- Review bank statements, reconcile balance sheet accounts, and verify accuracy across all ledgers.
- Prepare journal entries including depreciation, accruals, and prepayments, and report to appropriate executive for concurrence and approval for posting.
- Minimize unnecessary journal entries by improving upstream processes and documentation.
- Assist in producing monthly financial statements, including the income statement, balance sheet, and cash flow statement.
- Assist with preparation and analysis of work in process schedule.
- Review financial statements for accuracy, completeness, and compliance with accounting standards.
- Close and lock the accounting period in the financial system once all entries and reconciliations are complete.
- Ensure the month‑end close is completed within a few business days following month‑end.
- Manage tax filings and ensure compliance with federal, state, and local regulations.
- Maintain documentation for audits and support audit‑related inquiries.
- Uphold compliance with company policies, GAAP, and other applicable accounting standards.
- Identify opportunities to automate accounting tasks using accounting software tools.
- Streamline data entry, reconciliation processes, and implement workflow improvements to enhance accuracy and efficiency.
- Other duties as assigned.
To perform this job successfully, an individual should have a strong working knowledge of the following programs:
Proficient in the use of MS Office and financial management software. Currently using Sage Products and Quick Books.
