Schedule

Monday through Friday, from 8:30 am to 5:00 pm.

Responsibilities

Reporting to the Director of Facilities, this role will be responsible for overseeing all aspects of lease negotiation and execution, preparing newly acquired sites for occupancy, relocating teams between sites, and ensuring that all properties, owned and leased, are operating within Facility and regulatory compliance. This role will work closely with business units to identify space needs, with brokers to negotiate leases, Fiscal to ensure affordability and alignment with budget, legal teams to execute leases and move teams to ensure that sites are ready for occupancy within business, regulatory and funder guidelines.

Moderate travel between sites will be required to meet the expectations of this job.

  • Monitor lease schedules and manage the lease acquisition and renewal process in partnership with lease brokers. Assess locations for lease renewal, moves and closures and negotiate deals accordingly.
  • Maintain and update the real estate department database.
  • Upload and maintain up-to-date floor plans in database.
  • Develop space utilization standards considering best practices, mobile workforce and flexible work environments.
  • Work with business units to identify space needs to ensure standards and practices are aligned.
  • Walk properties with brokers and business units to identify properties that meet business need.
  • Draft, review and prepare for approval building and construction plans.
  • Prepare lease and move budgets for review and approval.
  • Provide first line review of all draft leases, letters of intent and related documents with knowledge of rent charges, tenant improvements, lease clauses and tenant/landlord obligations in preparation for legal review.
  • Move approved leases to the execution phase, including updating systems and departments with lease abstracts, lease schedules, vendor insurance certificates, vendor service agreements, tenant contact lists, property emergency call lists, etc.
  • Assist management in annual budget preparation, including planning for rent increases, anticipated relocations and new sites.
  • Work closely with property managers to ensure positive tenant relations, address maintenance issues, and resolve other tenant concerns. Assist management with direction on delinquency and ensure legal notices are addressed in a timely manner.
  • Facilitate and provide project management to the move team to ensure properties are ready for occupancy, moves result in minimal disruption to service delivery and are accomplished within business unit, funder and regulatory requirements. Coordinate with Quality Assurance to ensure all funder and accreditation requirements are met, such as Medi-Cal certification, COA, etc., and with the maintenance and safety teams to ensure all OSHA and building regulatory requirements are met.
  • Identify and engage vendors as needed to support moves.
  • Oversee tenant improvements, working with landlords to deliver on time and within the scope of work.
  • Monitor move budget and provide data to leadership.
  • Ensure that routine maintenance is performed, including regularly scheduled maintenance walkthroughs to ensure that all equipment is in working order and that all safety issues are identified and resolved quickly.
  • In partnership with Accounts Payable, ensure that rent schedules are routinely updated and that rent payments are made timely.
  • Other duties as assigned.
Compensation We Offer
  • Initial compensation ranges from $93,768 to $115,322 per year; depending on experience, location, and internal equity considerations.

Qualifications
  • High School Diploma/General Education Degree (GED) and (2) two or more years related experience required or equivalent combination of education and experience to include:
