(554790) Administrative Support Coordinator II, Administrative Support Coordinator, Salary Range: (Step 1 – Step 20) $4,367 - $6,362. Hiring Range: (Step 1 – Step
2) $4,367 - $4,454. This is a full‑time, benefited, non‑exempt, 12‑month pay plan permanent position with a one‑year probationary period in the Dance, Music and Theatre department. This position comes with a premium benefits package that includes outstanding vacation, medical, dental, and vision plans, life insurance, voluntary pre‑tax health and dependent care reimbursement accounts, a fee waiver education program, membership in the California Public Employees Retirement System (PERS), and 15 paid holidays per year.

The Administrative Support Coordinator is responsible for the entire specialized clerical/administrative support and coordination of the department(s) and associated areas, including the associated undergraduate programs, facilities, or units, to which they are assigned. Particular emphasis is in the areas of office coordination and liaison duties, department and program support, personnel administration, and fiscal management. Work is completed independently and involves coordination with staff and student employees.
Key Responsibilities:Office & Administrative Operations
- Manage daily department/program office operations, procedures, and workflow.
- Coordinate support staff and student assistants, including training, scheduling, and workload priorities.
- Serve as a central resource for information, policy interpretation, and general inquiries.
- Provide administrative support for meetings, events, correspondence, files, and website maintenance backup and support.
- Oversee onboarding logistics and maintain compliance with departmental administrative practices.
- Maintain and monitor department/program budgets across multiple fund types.
- Track expenditures, generate budget reports, and ensure compliance with financial policies and funding requirements.
- Process fiscal documents, manage purchasing, and oversee payroll tracking for student assistants and temporary staff.
- Support stewardship of trust, scholarship, and other specialized accounts.
- Coordinate personnel processes including hiring, separations, evaluations, RTP, and workload documentation.
- Liaise with APS and HR to ensure accurate processing of faculty, staff, and student employment actions.
- Provide administrative and procedural support to search committees throughout recruitment stages.
- Maintain current knowledge of employment policies and advise chair(s) and department personnel accordingly.
- Facilitate onboarding and maintain personnel‑related documentation.
