Position: Administrative Assistant (H)

This position is responsible for the administrative support of senior plant-level operations managers as well as the professional and efficient managing of visitors, customers, telephone calls and messages at the reception area.

Responsibilities
  • Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories, giving instructions.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
  • Maintains safe, clean and well-presented reception area by complying with procedures, rules, and regulations. Has ownership for the appearance of reception area comprising the entrance area, stairs, ground and first level seating areas.
  • Drafts financial, statistical, narrative, and/or other reports as requested.
  • Performs daily reporting tasks.
  • Uses Oracle and other information sources to prepare reports and documents as assigned by management.
  • Provides back-up and assistance to functions within the Operations Department.
  • Arranges, participates in, and implements conferences and committee meetings.
  • Arranges and coordinates travel, accommodation, car rentals and other needs for site personnel or visitors as directed by management.
  • Monitors and controls stationary inventory levels and organizes replenishment as required.
  • Composes letters, notes, spreadsheets and other documents at management's request.
  • Maintains confidential and non-confidential records as assigned by management.
Qualifications
  • High school diploma, or equivalent, preferred
  • Excellent PC skills including MS Office, Outlook and Oracle.
  • Capable of working independently.
  • Strong communication and organizational skills.
  • Relevant reception and administration experience
