Procurement and Returns Assistant

Rhythm Express is seeking a detail-oriented and organized Procurement and Returns Assistant to support purchasing operations, purchase order processing, and product returns. This role is responsible for accurate data entry, documentation management, and coordination with internal teams to ensure smooth procurement and return workflows. The ideal candidate is comfortable working in multiple systems and thrives in a fast-paced, detail-driven environment.

Responsibilities will include:

• Return Processing:
  Manage product returns by validating return requests, coordinating return shipments, and updating return records in the CRM and Sales App. Ensure all returns are accurately tracked and received in a timely manner.
• RMA Exception Handling:
  Collaborate with Customer Support and FA teams to resolve devices returned without an RMA number, including identifying the reason or the return and determining the appropriate steps to create transactions and properly receive the product.
• Device Recovery Support:
  Maintain and distribute weekly reports of overdue devices requiring return and proactively contact accounts to facilitate the recovery of outstanding devices.

• Enter and maintain accurate purchase orders in internal systems
• Ensure all purchase documentation is complete, organized, and compliant with company procedures
• Assist with tracking order status and resolving discrepancies

• Maintain accurate records in Fishbowl, CRM, Sales App, and other internal platforms
• Perform routine data audits to ensure data integrity and accuracy
• Support reporting and tracking as needed
• Package products for shipping and assist with ad-hoc shipping requests from Arden Hills headquarters
• Provide general procurement and operations support as assigned

Strong candidates will have the following qualifications:

• Minimum of 1 year of experience in procurement, purchasing, inventory or manufacturing support roles
• Strong attention to detail and accuracy
• Ability to manage multiple tasks and priorities
• Proficiency with ERP, CRM, or inventory management systems
• Basic understanding of procurement and supply chain processes
• Must be able to commute to our Arden Hills, MN location

Great candidates will have a four-year degree and 2 years experience as a Purchasing Agent
